About This Position

POSITION DESCRIPTION:

The National Collegiate Honors Council (NCHC) seeks a highly organized and detail-oriented Part-Time Awards Coordinator to manage the administration of NCHC’s annual awards and recognition programs. This part-time position supports the full awards lifecycle—from application intake to committee support, communication with nominees and recipients, and coordination of awards presentation materials. Workload varies throughout the year and increases during peak award cycles. The Part-Time Awards Coordinator reports directly to the Executive Director (ED) and works collaboratively with the Awards & Grants Committee.

The ideal candidate will have a bachelor's degree and experience in honors education, and or association experience, along with a demonstrable commitment to the mission of the National Collegiate Honors Council.

The National Collegiate Honors Council (NCHC) focuses on supporting honors education among colleges and universities. It serves as a professional association for honors programs and colleges and students, providing resources, support, and networking opportunities for educators involved in honors education. NCHC aims to advance honors education by fostering collaboration among honors programs, sharing best practices, and promoting excellence in teaching and learning.

DUTIES AND RESPONSIBILITIES:

Overview of Award Cycle

The Awards Cycle covers the full process of managing NCHC awards, from opening submissions through final recognition. It begins with preparing and maintaining the online submission platform, monitoring applications for completeness, and coordinating reminders and outreach. During this phase, Marketing support is used to promote deadlines and encourage strong participation.

The cycle then moves into the review period, where review teams are confirmed and set up in the review system, progress is tracked, and follow-up is conducted to ensure reviews are completed on time. Final decisions are communicated at the conclusion of the review process.

After selections are made, the Awards Cycle focuses on follow-up and recognition. Submissions are archived, acceptance and rejection messages are issued, and award recipients are supported through payment processing, conference registration, and session coordination when applicable. The cycle concludes with institutional notifications, record keeping, preparation for the Awards Ceremony, and coordination of physical award materials for presentation.

  • Award Administration
    • Manage the full awards process, including application collection, tracking, and eligibility verification.
    • Maintain and update award criteria, timelines, and application materials in coordination with NCHC staff and Committee leadership.
    • Lead the software launch and implementation of Reviewr as the online submission and review platform.
  • Communication & Support
    • Serve as the primary point of contact for award applicants, lead reviewers, and recipients
    • Draft and distribute award-related communications, including deadline reminders, notifications, and recognition announcements.
    • Provideclear guidance to participants regarding application requirements and timelines.
  • Event & Presentation Support
    • Assistin preparing annual awards program materials for NCHC’s annual conference or other recognition events.
    • Coordinate with staff on award-related publications, website updates, and promotional materials.
  • Recordkeeping & Reporting
    • Maintain organized andaccuraterecords of award submissions, outcomes, and historical data.

Other duties as assigned.

MINIMUM QUALIFICATIONS:

  • Association/Awards management experience.
  • Demonstrated experience in program coordination, administrative support, or project management; experience with awards or academic programs a plus.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage fluctuating workloads and meet deadlines during high-volume periods.
  • Proficiencywith digital collaboration tools (e.g. Microsoft Office, including e-mail and letter mail merges, cloud-based file sharing; familiarity with award management platforms is helpful).
  • Ability to work independently and maintain confidentiality.

PREFERRED QUALIFICATIONS:

  • Bachelor’s Degree
  • Proficiencyin Reviewer
  • Experience in honors education

COMPENSATION:

The position is a part-time role, approximating 15-hours/week. The position pays $17 hourly with accrued paid time off and 401(k) retirement benefits with employer matching.
