About This Position
The Marketing Operation Specialist advances NAA’s mission by strengthening the member experience through well-crafted marketing initiatives and a commitment to business excellence. An ideal candidate for this position is detail-oriented, highly organized and eager to grow in marketing operations and project management.
The Specialist will ensure seamless workflow coordination, timely project execution, and align with NAA’s brand while working closely with the Marketing Manager. Using a collaborative, innovative mindset, the candidate will work in project management system, ClickUp, to increase visibility, consistency and operational effectiveness across the Marketing Team.
Principal accountabilities
Project & Workflow Management
- Support the Marketing Manager in coordinating cross-departmental requests and prioritizing workloads.
- Manage and maintain marketing projects, tasks, and timelines in?ClickUp, ensuring accurate tracking and on-time delivery.
- Monitor project progress, flag risks or delays, and help maintain clear communication across stakeholders.
- Assist in developing and improving?department?processes, templates, and documentation.
Marketing Operations Support
- Help organize and maintain marketing assets, files, and documentation for easy team access.
- Oversee the organizational marketing calendar to ensure campaigns are scheduled out, updated as needed and executed on deadline.
- Support campaign execution by coordinating deliverables, gathering requirements, and ensuring alignment with project timelines.
- Assist with data collection, reporting, and performance tracking for marketing initiatives alongside Senior Manager of Digital Marketing Analytics.
- Maintain internal request workflows and ensure all incoming marketing needs are properly logged and routed through?ClickUp.
Cross-Team Collaboration
- Work closely with the?Marketing Manager?to support strategic planning and operational efficiency.
- Collaborate with internal teams?to gather information, clarify project needs, and ensure deliverables meet expectations.
- Participate in team meetings, providing updates on task status and project progress.
Administrative & General Support
- Coordinate the shipment of marketing materials, displays and supplies to exhibiting industry events for NAA team members.
- Assist with scheduling, meeting coordination, and note-taking as needed.
- Help maintain brand consistency across?organizational?materials and communications.
- Adheres to Data Accuracy Policy.
- 2+ years previous experience in marketing or operations. Agency experience is a plus.
- Strong organizational and time-management skills with keen attention to detail.
- Interest in project management and marketing operations.
- Familiarity with project management tools. Experience with ClickUp is a plus.
- Strong written and verbal communication skills.
- Ability to manage projects under pressure, to take initiative, and work independently as well as with a team.
- Proactive, collaborative, and eager to learn.
Preferred (but not needed):
- Bachelor’s degree in Marketing, Communications, Business, or related field (or equivalent experience).
- Basic understanding of marketing principles and digital marketing channels.
- Experience with CRM, email marketing platforms, or analytics tools.
- Ability to analyze data and create simple reports or dashboards.
- Creative problem-solving and process-improvement mindset.
Travel Requirements
Occasional out-of-town, overnight travel will be required for events and conferences (approximately 1-3 events per year).
Physical Demands
While performing the duties of the job, the employee is regularly required to sit, use hands to finger, handle or feel objects, tools or controls; reach with hands and arms. The employee may occasionally lift up to 30 pounds.
Work Environment
Work is regularly performed in a professional office environment and routinely uses standard office equipment.
