JOB SUMMARY
Reporting to the Office Manager, the Front Desk Administrative Assistant serves as the first line of communication for all traffic that walks through YWCA Northeast Kansas and fills a crucial role in providing excellent customer service. The Front Desk Administrative Assistant completes clerical and administrative duties to support the goals and objectives of YWCA Northeast Kansas.
RESPONSIBILITIES
Provides job-related support to all departments in the agency by doing the following:
Administrative Support
- Answers the telephone and provides information and assistance or otherwise routes callers to appropriate staff.
- Checks visitors in to the building following appropriate risk management protocols.
- Accepts donations, provides donor with appropriate paperwork, and maintains donations as directed.
- Processes contribution acknowledgment receipts.
- Works in coordination with the Office Manager for office supply inventory and purchases. Processes daily mail.
- Maintains copy room and straightens both the reception area and copy room daily.
- Provides administrative support as requested and available.
Other Position Functions
- Completes all timekeeping records as required by funders.
- Refrains from assuming any duty that is unrelated to and/or interferes with the responsibilities of the position.
- Develops, promotes, and practices teamwork and open communication in all activities.
- Advocates, promotes, and practices cultural sensitivity and responsiveness in day-to-day interactions.
- Other duties as associated by the supervisor and CEO. The job description does not state or imply that these are the only activities to be performed by the employee holding this position.
QUALIFICATIONS
At a minimum, the Front Desk Administrative Assistant have a High School diploma or GED. In addition, the Front Desk Administrative Assistant shall have:
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Excellent communication and interpersonal skills.
- Customer-service oriented mindset.
- Attention to detail and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information responsibly.
- Commitment to the YWCA mission and values, including a strong focus on racial equity and social justice.
