About This Position

The Executive Assistant will provide support for our Executive Leaders. Responsibilities include managing schedules, data entry, task management, and handling project documentation. The role requires strong organization, attention to detail, multitasking, and effective communication. The Assistant will work closely with the team and must be able to work independently when needed.
Other responsibilities include:
Administrative Support:
- Manage executive calendars, including scheduling meetings, appointments, and coordinating with internal and external stakeholders.
- Provide daily, in-person support for the internal functioning of the VPs, including meetings upon request.
- Manages and maintains schedules, appointments, and travel arrangements, and timely prepares expense reports.
- Organizes meetings to maximize productivity and discussion; drafts agendas and minutes and ensures follow-up action items are clearly assigned and subsequently completed.
- Provide calendar management for executive team; prioritize inquiries and requests, makes judgments and recommendations to ensure smooth day-to-day engagements.
- Implements a communication process ensuring that stakeholders are provided with the appropriate information in the necessary timeframes.
- Provides general administrative support including writing, note taking, editing, archiving, of work, business documents and presentations.
- Answers inquiries and/or referring requests to the appropriate person/department for resolution.
- Develop and implement office procedures related to the coordination of information.
- Attends meetings as assigned, taking notes and reporting on actions.
- Coordinates and prepares for meetings and events to include preparing an agenda, scheduling teleconferences, and conference space as required, facilitating refreshments, and transcribing and distributing meeting minutes.
- Draft, edit, and proofread various documents, correspondence, reports, and presentations on behalf of the executives.
- Conduct research and compile information for special reports and presentations as requested by company executives and senior leadership.
- Order supplies, lunches, meals as requested
Project Coordination for assigned projects
- Organize tasks, resources and schedules for assigned projects to ensure timely and successful completion of requested deliverables in relation to assigned projects
- Collaborate with various team members and stakeholders to maintain clear communication, monitor progress and address any issues that arise
- Track project progress, identify potential risks, and implement solutions to keep projects on track
- Initiate project status meetings as needed to ensure completion of tasks, supporting and working through project bottlenecks that may arise
Other Duties as assigned
Requirements:- 2-3 years of administrative support experience in a professional environment.
- Bachelor's degree or equivalent experience.
- Strong interpersonal skills with the ability to take initiative, multi-task, be a team-player, be flexible, adapt to shifting priorities, and prioritize work
- Strong proficiency in Microsoft Office applications including Outlook, Word, Excel, PowerPoint, and other desktop publishing software.
- Excellent communication skills, both verbal and written
- Excellent organizational skills, commitment to accuracy, and attention to detail
- Maintains a professional image and presence.
- Ability to respect and adhere to, always, the confidential nature of the work and information
- Desire to be continually learning
- Travel may be required up to 10% of the time for special events such as meetings and other internal events.

- This is a full-time position. Days of work are Monday through Friday. Evening and weekend work may be required as job duties demand.
