So, do you want to join us? We are looking for a Senior Benefits Specialist.

As a senior benefits specialist, you will be responsible for leading the day-to-day administration and support of the organization's employee and retiree benefit programs and serving as the Institute's privacy officer. Additionally, you will be responsible for supporting the development and implementation of new or modified plans and monitoring existing plans.

You will be responsible for:

Leading administration of benefits processes

  • Administering all employee and retiree benefit programs, including medical, dental, vision, life insurance, retirement plans, and disability.
  • Processing benefit enrollments, changes, and terminations in the appropriate benefit administration systems accurately and timely.
  • Coordinating and communicating annual open enrollment, providing system setup and testing, and educating employees on benefit offerings, changes, eligibility, coverage, and provisions.
  • Conducting benefit orientations and assisting with benefit enrollment as needed. Ensuring new employee enrollments are accurate and communicated for initial payroll processing.

Serving as Privacy Officer

  • Leading development and ongoing management of the privacy policy.
  • Performing periodic privacy risk assessments and making recommendations as appropriate.
  • Facilitating privacy training and ensuring appropriate interactions with business associates.

Handling vendor and payroll coordination

  • Acting as liaison between employees, retirees, payroll and external benefit providers to resolve enrollment, billing, and coverage issues. Monitoring vendor service performance.
  • Partnering closely with payroll and accounting to ensure accurate payment, funding, and taxation of benefits. Serving as primary backup for payroll processing.
  • Reviewing all monthly billings for accuracy, adjusting as needed, and submitting invoices for payment.

Documenting, compliance, and continuous improvement

  • Monitoring plan performance and analyzing benefits data trends and cost in plan design. Recommending improvements, amendments or corrective actions based on performance or legal changes.
  • Completing records, reports, and documentation required by federal and state regulations and provider requirements ensuring compliance with COBRA, HIPAA, and ERISA provisions. Staying informed on benefit plan changes, regulatory updates, and best practices.
  • Providing termination data to carriers and sending proper COBRA notification to termed participants.
  • Maintaining and updating benefits documentation, procedures, and records to support audits and compliance requirements. Monitoring benefits and procedures for compliance.
  • Leading annual retirement plan audits, coordinating data collection and assisting with assisting with filing required tax returns and reports.

Managing system input and maintenance

  • Reviewing and updating the benefit section of the Human Capital Management (HCM) with the current benefit election options.
  • Reviewing and updating all benefit related plan and program documents, notices and related information in the Human Capital Management (HCM).
  • Auditing benefit providers to ensure they have the correct participant election data.
  • Initiating review, and ensuring timely delivery, of employer contributions and employee payroll deductions to carriers or plan administrators.
