As our Executive Office Manager, you are the conductor of that rhythm. You aren’t just managing a calendar; you are the strategic engine behind the Executive Director, ensuring our mission to serve students is translated into flawless execution. What you’ll be doing.You will provide essential operational leadership to the Executive Director and the senior leadership team. You’ll be the primary liaison between the Executive Office and the school community, managing high-stakes communications and the enterprise operating rhythms that ensure our goals are met.
- Strategic Triage: Manage the Executive Director’s calendar to prioritize high-value requests and protect time for strategic initiatives.
- Operating Rhythms: Execute school-wide cadences, including leadership check-ins, board-facing timelines, and cross-functional planning cycles.
- High-Stakes Communication: Draft and finalize "Board-ready" reports and correspondence in both English and Spanish, maintaining the Executive Director’s voice and a "zero-mistake" standard.
- Data & Compliance: Extract and synthesize complex data (academic/budgetary) into compelling presentations while ensuring compliance with California Education Code and data privacy.
- Community Diplomacy: Act as the professional "buffer" and point of contact for the Executive Office, navigating diverse social dynamics with diplomacy and firmness.
You are a master of organization and a professional with ironclad discretion. You have a knack for seeing where a process is lagging and the initiative to fix it before it becomes a blocker.
You’ll need to have:
- Bachelor’s degree and five or more years of experience managing systems in high-pressure environments (preferably education).
- Experience in a supervisory or management role.
- Proven track record of maintaining KPI tracking, meeting cadences, and board cycles.
- Proficiency in Google Workspace, Canva, PowerPoint, Slack, Zoom, and School Information Systems (SIS).
Even better if you have:
- Full professional fluency in written and spoken Spanish.
- Deep understanding of California’s A-G college readiness and educational compliance.
- Experience serving as a primary liaison to senior leaders and boards.
