Temporary Lease Renewal and Legal Assistant Job Description

The Temporary Lease Renewal and Legal Assistant will support the General Counsel, Staff Attorneys, and Asset Management team in legal and lease renewal matters. This role is responsible for managing lease renewal processes, monitoring case progression, handling resident communications, and assisting with non-primary residence investigations and holdover proceedings. The position requires strong organizational skills, sound judgment, and the ability to communicate professionally.

Key Responsibilities

  • Assist the General Counsel and Staff Attorneys with legal administrative matters.
  • Investigate and manage non-primary residence cases and failure-to-renew holdover proceedings.
  • Monitor, track, and report on the progression of legal cases to ensure timely action and compliance with deadlines.
  • Maintain accurate case files, documentation, and internal tracking systems.
  • Manage all aspects of the lease renewal process from initiation through execution.
  • Run and analyze Lease Expiration Reports to ensure timely renewals.
  • Prepare, print, and distribute lease renewal packages.
  • Independently monitor and track renewal deadlines to ensure compliance.
  • Meet with residents to review renewal terms and address questions.
  • Respond to resident calls and emails regarding renewal inquiries.
  • Collaborate with Asset Managers on counteroffers and renewal negotiations.
  • Draft renewal-related correspondence and legal documents.
  • Assist with system transitions and process improvements, including Yardi software implementation.

Resident & Stakeholder Relations

  • Communicate decisions clearly and respectfully, including determinations that may not be favorable to residents.
  • Provide a high level of professional service that promotes resident satisfaction while upholding company policies and legal requirements.
  • Foster cooperative working relationships across departments.
Requirements:
  • Bachelor’s degree in Law, Legal Studies, Business Administration, or a related field.
  • Minimum of one (1) year of experience in a legal, property management, or corporate administrative setting preferred.
  • Strong written and verbal communication skills, with the ability to engage effectively with diverse populations.
  • Excellent organizational skills with the ability to manage multiple deadlines simultaneously.
  • Ability to work both independently and collaboratively in a team-oriented environment.
  • Proficiency in Microsoft Office; experience with Yardi or property management software preferred.
