About the role

The Facilities Manager will be a key support to the Head of Estates, taking a leadership role in managing the day-to-day and strategic operations of facilities across Cera Care's portfolio. This position ensures the efficient, safe, and cost-effective functioning of all physical properties, leads all ongoing maintenance and capital expenditure projects, and ensures proactive compliance with all statutory and corporate regulations related to the built environment.

The ideal candidate will be an experienced, strategic, and self-motivated professional with proven leadership, strong organisational, and advanced communication skills, and a minimum of 4 years of progressive experience in facilities management

Responsibilities

Strategic Facilities Management & Budget Oversight:

  • Manage and direct all routine maintenance, repairs, and major capital upgrade projects to facilities, ensuring minimal disruption to operations.

  • Develop, negotiate, and manage high-value relationships with key suppliers, contractors, and service providers, holding them accountable to SLAs and budget.

  • Manage the annual facilities and maintenance budget, identifying cost-saving opportunities and ensuring financial performance against forecasts.

  • Conduct site inspections and audits, traveling to branches as and when required, to ensure high standards of maintenance and presentation.

Property and Lease Support:

  • Provide operational support for lease administration, including critical date tracking, rent reviews, and managing tenant/landlord facility-related requests.

  • Lead the continuous development and accurate maintenance of the Property Management System (PMS) regarding facilities data to ensure data integrity and effective portfolio reporting.

  • Develop and implement facilities-related policies and procedures in support of the Head of Estates.

Safety, Risk, and Statutory Compliance Leadership:

  • Lead the proactive management of all health, safety, and environmental (HSE) compliance across the facilities portfolio.

  • Establish and audit accurate records of all inspections, certifications, and safety documentation, providing assurance to the Head of Estates.

  • Oversee the entire Planned Preventative Maintenance (PPM) schedule, ensuring all statutory and regulatory checks on building systems are carried out and documented on time.

Performance Reporting and Administrative Management:

  • Prepare detailed, high-level reports on facilities performance, financial budgeting, and maintenance activity, providing strategic insights to the Head of Estates.

  • Lead the implementation of new technology and processes to drive significant improvements in facilities management efficiency and transparency.

  • Maintain an advanced, organised system for tracking maintenance schedules, warranties, and service contracts.

Project and Capital Expenditure Coordination:

  • Lead and manage significant facilities improvement and capital expenditure projects from inception to completion, including scope definition, contractor selection, quality control, and sign-off.

  • Monitor timelines, budgets, and deliverables, proactively resolving issues to ensure successful, on-time, and on-budget project completion.

Qualifications and Skills

  • 4+ years of progressive experience in facilities management, preferably in a multi-site environment.

  • Demonstrated experience in managing significant capital projects and large operational budgets.

  • Advanced knowledge of building systems (HVAC, electrical, plumbing, fire safety).

Skills:

  • Exceptional organisational, project management, and strategic time management skills.

  • Advanced communication, negotiation, and stakeholder management abilities.

  • High proficiency in Google Workspace and advanced facilities management software (e.g., CAFM).

  • Strong financial acumen and proven experience in budget development and reporting.

Certifications:

  • Professional facilities management certifications (e.g., FMP, CFM) are highly advantageous.
