Project Specialist

This role is responsible for coordinating schedules, aligning resources, and maintaining accurate project data across multiple systems including Salesforce (SFDC), Kantata (PMO system), SAP 4.7, Microsoft Teams, SharePoint, and Microsoft Office tools.

Based at the Plano, Texas headquarters, the Project Coordinator serves as a key point of contact for both internal teams and customersfacilitating site access, scheduling resources, and ensuring timely communication throughout the project lifecycle. This role also manages project tracking updates, prepares and delivers weekly status reports, oversees documentation uploads, and supports invoicing processes to ensure projects are completed efficiently and accurately.

DUTIES/RESPONSIBILITIES:

As the Project Specialist, you will:

  • Serve as the primary point of contact for customers to obtain site access requirements and ensure readiness for scheduled work.
  • Coordinate with internal teams (e.g., operations, engineering, field services) to align resource availability and optimize project scheduling.
  • Develop and deliver clear, timely weekly status updates to both internal stakeholders and external customers.
  • Maintain and update project tracking tools within Microsoft Teams and SharePoint to ensure accurate, real-time visibility of project progress.
  • Manage project closeout activities by compiling and uploading required documentation into Salesforce (SFDC) and SharePoint.
  • Prepare and submit accurate and timely invoicing in alignment with project milestones and completion.

BASIC QUALIFICATIONS:

  • High school diploma or GED required, with a minimum of 3 years of experience in a customer service or project coordination role.
  • Associates or bachelors degree from an accredited college or university preferred.
  • Proven ability to collaborate effectively with cross-functional teams to build and improve processes.
  • Results-driven with a strong track record of meeting commitments and following through on deliverables.
  • Demonstrates high integrity, professionalism, and transparency in interactions with leaders, peers, customers, and partners.
  • Strong analytical and problem-solving skills, with the ability to identify issues and implement effective solutions.
  • Ability to manage multiple priorities in a fast-paced environment with strong organizational and time management skills.
  • Self-motivated with the ability to work independently, while also contributing as an engaged and reliable team member.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with the ability to build relationships and effectively interface with all levels of internal and external stakeholders.
  • Proficient in Microsoft Office applications (e.g., Excel, Word, PowerPoint, Outlook).
  • Familiarity with Lean principles or process improvement methodologies preferred.
