Job Summary:
This position will work with the Fulbright Outreach & Recruitment team. The Coordinator provides financial, logistical, and administrative support to the Fulbright Scholar Outreach and Recruitment team. This position manages logistical and administrative arrangements, processes payments, and reconciles financial records in support of the team. The Coordinator maintains internal and external contact databases and supports external communications by monitoring shared inboxes; and supports production of newsletters, webinars and virtual events. This role supports procurement of venues, development of promotional materials, and management of vendors. The Coordinator travels to events as needed.

Essential Functions:

• Maintains applicant and stakeholder data in databases, spreadsheets, and on websites.
• Processes payments via IIE’s financial systems and reconciles financial expenses made to corporate credit cards.
• Coordinates with internal teams to arrange travel, per diem, and reimbursements for event speakers and participants.
• Use excellent customer service skills to communicate program policies and procedures via e-mail, telephone, and in person to internal and external stakeholders.
• Coordinates outreach travel and event logistics for recruitment presentations, campus visits, webinars, and conference participation, including arranging travel, per diem, reimbursements, and speaker support for Fulbright staff, alumni, and invited partners.
• Manages procurement and vendor coordination for outreach-related activities, including event venues, hotels, catering, transportation, and cultural site visits for Fulbright Scholar Program promotional events and trainings.
• Supports presentations and informational sessions (office hours, webinars) to prospective applicants, faculty, administrators, and institutional partners on program eligibility, award types, application components, and Scholar Program policies.
• Coordinates all technical aspects of online events and communication plans including Zoom logistics and links, Slate event and registration production, automatic messages, reminders, and large email campaigns through Slate.
• Communicates program guidance and recruitment messaging via email, phone, and in-person meetings with universities, professional associations, Scholar Liaisons, and prospective applicants.
• Troubleshoots applicant and partner inquiries related to outreach events, application processes, Slate navigation, and program requirements, escalating issues to senior staff when necessary.
• Supports on-site execution of outreach and recruitment events, including national conferences, campus workshops, discipline-specific webinars, and Fulbright Scholar Program trainings.
• Contributes to the development and production of outreach and recruitment materials, including digital content, slide decks, newsletters, and print or order collateral that promote the Fulbright U.S. Scholar Program.

Qualifications and Experience:

Education and Work Experience:
• Requires an Associate’s degree and at least two years of related work experience, or an equivalent combination of education and experience.

Required Knowledge, Skills and Abilities:
• Good organization skills with high attention to detail.
• Ability to work on and prioritize multiple tasks.
• Ability to work well under pressure and meet deadlines.
• Good written and verbal communication skills.
• Intermediate knowledge of Microsoft Office Suites.
• Basic understanding and interest in finance and accounting principles and logistical coordination.
• Ability to interact with all levels of staff and external contacts; sensitive to cultural differences when working with people from other cultures.

Salary and Benefits:
• Hiring Salary: $50,756.91. A candidate's starting payrate is determined by the Union pay grade for the role and is in accordance with the Collective Bargaining Agreement.
