Description:

The Administrative and Family Services Coordinator – Indiana will be in charge of intake coordination, family services, and site administration at LOGAN autism services sites in Indiana. The coordinator will serve as the first point of contact for families of individuals with autism who contact LOGAN and will assist them in the process of finding appropriate services at LOGAN or in the greater community. In addition, the coordinator will assist the Directors in daily administrative tasks at LOGAN autism service sites in Indiana.

Requirements:

RESPONSIBILITIES

Essential Function

  • Serves as first point of contact for families of individuals seeking services through LOGAN.
  • Assists families in starting services with LOGAN, including site tours, intake paperwork, facilitating benefit checks, and scholarship applications when appropriate.
  • Assists families in finding appropriate services outside of LOGAN, when appropriate.
  • Maintains waiting lists for services in Indiana. Regularly contacts families on waiting list for any updates to their situation, and to inform them of their current status on the waiting list.

Assist Directors in administrative responsibilities of sites, including (but not limited to):

  • Providing accurate information to the accounting department to ensure appropriate billing
  • Regularly checking with families to ensure that changes in insurance/payment status are reflected in our records
  • Regularly inspect sites to anticipate maintenance needs, and communicate these needs to appropriate people at LOGAN
  • Coordinates and manages all audits for Indiana sites.
  • Develops site-specific procedures, in conjunction with supervisor, to enhance work environment,
  • Assist in and collaborate with Directors and marketing department in marketing and promoting LOGAN’s services, including hosting community members and attending community/informational fairs.
  • Coordinates family support groups.
  • Maintains up to date directory of area professionals, services, and resources.
  • Assists in coordinating autism training, conferences and workshops. Arranges for speakers, reserves room and AV equipment needed, handles reservations, provides certificates of attendance, etc.
  • Provides relevant content for addition to the Autism Services website and email communications.
  • Responsible for working with the marketing department to maintain adequate supplies of brochures and informational items.
  • Provide support to volunteers assigned to the Autism Center.
  • Answers phone calls and emails in a timely fashion and promptly follows up on phone calls & inquiries.
  • Responsible for supervising Indiana Autism Learning Center(s) Administrative Assistants, including (but not limited to) handling timecards, disciplinary issues, and annual reviews, as needed. Will also assist with expense tracking and corporate card use, as needed.
  • Other duties as assigned by supervisor.

General Responsibilities

  • Responsible for the health and safety of individuals served.
  • Represent LOGAN in a positive way in the community.
  • Serve as an advocate and protects the dignity and human rights of individuals served.
  • Serve as an example for staff in terms of good employee practices, including (but not limited to) excellent attendance and strict adherence to LOGAN policies.
  • Other duties as assigned.

QUALIFICATIONS

Education

  • High school diploma or GED equivalent required

Experience

  • Strong knowledge of & experience with Autism Spectrum Disorders & other developmental disabilities

Knowledge, Skills and Abilities

  • Knowledge of autism resources in Indiana required
  • Strong communication ability
  • Highly Organized
  • Ability to sit & use computer keyboard
  • Ability to kneel, bend, & reach
  • Ability to lift 50 pounds
  • Must have a reliable mode of transportation to travel between centers during the day
