POSITION SUMMARY:
Tahoma Construction Services (TCS), a general contracting subsidiary of Puyallup Tribal Enterprises (PTE), is seeking a skilled Project Coordinator to join our growing team. This position provides
critical support to our Project Management team and works closely with all departments within TCS. Responsibilities include managing the job startup process, maintaining subcontractor database, preparing and tracking subcontracts and subcontractor change orders, and assisting with owner change orders. This role also provides support for submittal organization, project closeout, and with bid preparation for various commercial and residential projects within the region.
TCS is focused on leveraging our existing assets to generate above-market returns for the Puyallup Tribe and our strategic partners. We are looking for highly motivated professionals with proven technical, strategic, and analytical skills. This critical role will support our construction team as we continue to grow and diversify our business.
RESPONSIBILITIES:
- Support project managers in planning, organizing, and overseeing all aspects of construction projects
- Support project managers in all aspects of pre-construction services
- Maintain accurate and up-to-date project documentation records such as contracts, drawings, specs, RFIs, and submittals
- Maintain subcontractor database documentation, including onboarding documentation
- Prepare subcontracts and subcontractor change orders, maintain subcontract and change order tracking log and assist with preparing owner change orders
- Assist in the procurement of project materials and services; track procurement status
- Coordinate bonds and certificates of insurance
- Assist project managers with bid preparation and project closeout
- Provide bridging support between construction and accounting departments
- Assist with requests from field staff
- Provide backup support to office administration
- Participate in marketing, networking, and public relations to promote TCS
- Identify opportunities for improvements, identify potential areas of risk, and share information with key stakeholders to maximize results throughout TCS
- Use all company resources efficiently to promote maximum financial results for TCS; maintain TCS equipment and assets to maximize return on investment
- Establish and maintain effective business relationships with all employees, vendors, business partners, government/regulatory entities, and communities in which we operate
- Strictly follow workplace safety measures; safeguard the welfare of all employees, guests, visitors, and business partners at all times; promptly report workplace risks, incidents, injuries, and near misses
- Maintain strict confidentiality regarding all sensitive and proprietary business information, and safeguard TCS assets at all times
REQUIREMENTS:
Minimum
- High School Diploma or equivalent
- Valid WA driver's license and good driving record
- Three+ years of experience in a construction related industry
- Good understanding of construction management, administration, and contracts
- Basic knowledge of general contractor project management and construction accounting interconnections
- Ability to work with a high level of accuracy and attention to detail
- Very organized, including the ability to problem solve, multi-task, and effectively manage competing deadlines
- Self-driven and able to work effectively with minimal supervision
- Good verbal and written communication skills in English
- Strong computer proficiency, specifically Microsoft Office products, Bluebeam, and various project management products
- Relates well to all people, diplomatic /gracious; builds good relationships without compromising results
- Culturally sensitive and works well with the full diversity of our company and community
- Uncompromising integrity and the ability to maintain strict confidentiality
- Ability to occasionally work non-standard hours to accommodate business needs, including nights, weekends, and holidays
- Ability to pass drug screen and background check
Preferred
- BA/BS in construction management or business administration
- Five+ years of experience with a general contactor
- Experience with Tribal and/or government project management, procurement, and contracts
