About This Position
This position requires working in the Indianapolis office at least three days per week, with the potential for additional in-office days as needed.
Responsible for providing timely, efficient and the highest quality customer support to members, non-members and staff. To provide assistance with merchandise ordering, data entry, literature request, membership information and organizational inquiries in regard to clubs, divisions and districts. Will provide additional assistance, as required, within department and other areas of Kiwanis.
ESSENTIAL FUNCTIONS:
Member Services Team
- Work closely with members of the Member Services Team to support the goals, strategies, and plans implemented in order to achieve the vision, mission, and strategic objectives of the Organization and the International Office.
- Attend and actively participate in departmental meetings.
- Work directly with Member Services management to address, identify and resolve departmental issues.
- Assist Member Services team as requested.
Position Responsibilities
- Primary contact for inquiries (inquiries via telephone, e-mail, fax, postal mail and walk-in customers) regarding membership, club, division and district status, programs (including recognitions and awards) and activities.
- Data entry of merchandise and literature requests, annual membership billing, membership updates/changes, address corrections and “other” (special projects/requests) as required.
- Inquiries regarding merchandise returns, backorders, lost shipments (including tracking of shipments), credits, refunds, gift certificates and club roster requests.
- Provide backup for the receptionist.
OTHER FUNCTIONS:
- Provide assistance to non-members to locate a local Kiwanis club in their area to visit.
- Assist with inquiries on how to start a new club or to a club looking for new service project.
- Assist Member Experience team as requested.
- All other duties as assigned, trained for, and qualified to do.
Educational Requirements:
- High school diploma
Experiential Requirements:
- Capable of maintaining a professional, pleasant and positive working relationship with all levels of membership and staff
- Strong oral and written communication skills
- Capable of working in a multitask environment
- Accurate data entry skills
- One year or more experience in a customer service environment
Required Skills:
- 40+ WPM or keystroke equivalent with 90% accuracy
- Microsoft Office Suite products; with proficiency in PowerPoint
- Microsoft Outlook – utilization of calendar and management tools
- Internet proficiency
Other Requirements:
- Associates Degree in Business Administration or Accounting a plus and/or equivalent experience in a customer service environment
- Kiwanis Family or service club experience a plus
- Multilingual a plus
WORKING CONDITIONS/OTHER INFORMATION:
- Able to work a flexible schedule, including some weekends
- Overtime as required
- Close working conditions with coworkers.
