Job Description

Title: Facility Specialist

Reports To: Director of Operations

Grade: 11

Summary

Manages the functioning of the facility systems including mechanical, fire/life safety, building security and general facility maintenance. Supports facility operations and Environmental, Health & Safety (EHS) programs through coordination, inspection, documentation, and implementation of improvements. This role works closely with the EHS Manager to ensure facility systems, equipment, and processes meet safety and regulatory requirements while maintaining efficient day-to-day operations.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Facilities

Develops and manages CAPEX and OPEX budgets for Facilities.

  • Interfaces with building owner to ensure facility is properly maintained and that issues are addressed in a timely manner.
  • Supports planning and execution of facility renovations, including coordination of design, estimates, and project timelines.
  • Coordinates contractors for facilities renovation projects including HVAC, electrical, plumbing, and life-safety equipment.
  • Maintains relationships with key facilities contractors such as cleaners, security providers, electricians, plumbers, waste disposal, etc.
  • Identifies and recommends changes to the facility, including layout, utilities, and infrastructure with a goal to maximize efficiency of the office space, workflow, and assembly methods.
  • Ensures proper and efficient operation of equipment and infrastructure utilizing predictive and preventive maintenance processes.
  • Performs periodic cleaning activities: carpet cleaning, floor scrubbing/polishing, etc. as needed.

EHS (Environmental, Health & Safety)

  • Supports execution of EHS programs and policies under direction of EHS leadership.
  • Coordinates and conducts routine safety inspections and audits; documents findings and tracks corrective actions.
  • Maintains safety equipment inventory and ensures proper inspection and readiness.
  • Coordinates hazardous waste handling and vendor activities to ensure compliance with established procedures.
  • Assists in maintaining environmental and safety documentation, including Safety Data Sheets (SDS) and regulatory records.
  • Supports delivery and coordination of training in emergency response and hazardous material handling.
  • Identifies safety concerns and works with EHS leadership to implement corrective actions.
  • Partners with Facilities and EHS leadership to implement safety-related changes to equipment, layout, and processes.
  • Assists with workers’ compensation administration and ergonomic program implementation as needed.

Qualifications:

Education and/or Experience

Three or more years’ experience in facility management required, including management of facility build-out and/or renovations. Experience directly related to implementing EHS programs and procedures a plus.

Computer Skills

  • Microsoft Office including Microsoft Project
  • Proficiency in CAD software for developing and maintaining facilities layouts and designing machine guarding preferred.

Technical Skills/Knowledge

  • Knowledge of basic SH&E procedures via technical degree and/or applicable work experience. Must have understanding of OSHA, EPA and DOT regulations.
  • Must have a good understanding of building construction methods, plumbing and electrical work, including industrial equipment power, LOTO, and arc flash.

Other skills and abilities

  • Demonstrate ability to manage multiple task/projects and solve difficult technical problems in a timely manner.
  • Capital planning and budgeting
  • Must be a champion for safety, actively working to improve facilities, equipment, layout, and processes to ensure safe operating conditions for all employees.

The pay range for this role is $70,000-$99,000 based on level of education and experience as compared with current employees of similar education and experience.

This position qualifies for a discretionary bonus based on the financial performance of the company. Payment of a bonus is not guaranteed.
