Challenging Projects:
As a Quality Assurance Publishing Project Coordinator with JCTM, you will play a critical role in supporting the U.S. Coast Guard Directives and Publications Division by ensuring high-quality publication production, lifecycle process compliance, and audit-ready documentation. This position requires strong experience applying internal controls, coordinating publication workflows, supporting plain language and accessibility objectives, and guiding stakeholders through structured publishing processes in a predominantly virtual Microsoft 365 environment.
Key Responsibilities:
- Lifecycle Publishing Quality Assurance: Serve as a control point for electronic publication production, ensuring publications move efficiently through review, editing, final checks, and release in accordance with Coast Guard policies and internal controls.
- Internal Controls and Compliance: Read, understand, and apply governing directives, correspondence, forms, print publishing, and Section 508 compliance requirements; document compliance review completion and support audit-readiness across the publication lifecycle.
- Publication Coordination: Liaise directly with Coast Guard sponsors, publication owners, and writers to guide them on templates, publication structure, sequencing, concurrence requirements, and publishing standards.
- Accessibility and Plain Language Review: Apply proofreading, grammar, spelling, plain language, and accessibility review practices, including basic remediation techniques such as alternative text and artifact compliance checks using Microsoft and Adobe tools.
- Pre-Publication Final Review: Perform and document final checklist activities prior to publication release, including verification of approvals, forms review, signatures, dates, release authority, prior-edition removal, and audit portfolio completeness.
- Agile Production Support: Participate in recurring scrum meetings, maintain status in assigned data trackers, and support prioritization of publications based on compliance deadlines, executive requirements, and audit considerations.
- Audit Portfolio Maintenance: Ensure meaningful lifecycle correspondence and required artifacts are retained in audit portfolios, assist with year-end completeness reviews, and support corrective follow-up where needed.
- Reporting and Metrics: Contribute to monthly progress reporting by documenting accomplishments, quality metrics, compliance checks, remediation activity, publication status, risks, and notable production issues.
- Database and Library Accuracy: Support accurate maintenance of publication metadata, coding, titles, search categorizations, and related Power App or SharePoint-based library records with strong attention to detail.

Work Location: This position is primarily remote from a U.S.-based work location, with occasional on-site support at U.S. Coast Guard Base NCR in Washington, DC, as mission requirements dictate.
You Have:
- Bachelor’s degree preferred in Information Technology, Policy, Administration, Library Science, Homeland Security, English, or a related discipline
- 5+ years of experience applying internal controls to lifecycle processes
- Demonstrated experience coordinating publication, documentation, or records-based workflows in a regulated environment
- Strong proficiency with Microsoft Office 365, Adobe Acrobat Pro or similar tools, and Microsoft SharePoint
- Experience performing quality review, proofreading, copyediting, or compliance validation for formal business or policy documents
- Working knowledge of Section 508 concepts, plain language principles, and basic accessibility remediation techniques
- Ability to communicate clearly and professionally with customers, sponsors, and internal stakeholders
- Experience documenting actions for audit, reporting, or traceability purposes
- Ability to manage multiple priorities in a high-volume production environment
- Strong attention to detail and commitment to positive customer service outcomes
Nice to Haves:
- Experience supporting military, DHS, Coast Guard, or other federal publishing environments
- Experience with Microsoft Power Platform, including Power Apps
- Familiarity with directives systems, forms management, correspondence manuals, or publication libraries
- Experience supporting audit portfolios, internal controls testing, or records retention activities
- Experience participating in agile scrum-style workflow meetings
