Digital Mail Processing & USPS Dispatch

Department: Presort

Reports To: Director of Production

Location: Syracuse, NY

Employment Status: Full-Time

Work Schedule: A typical work schedule is 2:30 pm – 11:00 pm, with the flexibility to handle escalations or support during peak production times or special projects.

Pay Schedule: Non-Exempt – Paid Weekly

Compensation: $39,520–$41,600 annually, depending on experience

Shift Differential: 2nd Shift +$1/hr., 3rd Shift +$2/hr. (based on hours worked)

Benefits Eligibility: Benefits begin the first day after the first two full months of employment.

Position Summary

The Digital Mail Processing & USPS Dispatch position is responsible for ensuring the accurate preparation, verification, documentation, and release of digital and physical mail in compliance with United States Postal Service (USPS) regulations and internal production standards.

This role supports presort and mailing operations by following detailed procedures to prepare digital mail jobs, validate documentation, organize trays and pallets, print USPS confirmations, and coordinate dispatch to the Post Office. The position plays an important role in ensuring that all mailings are properly documented, verified, and released in accordance with regulatory requirements and company quality standards.

Essential Functions

The essential functions include, but are not limited to, the following:

  • Collect and review job documentation to ensure accuracy and prevent the mixing of jobs, trays, or segments.
  • Verify that postage statements, barcode placards, tray labels, and pallet documentation remain matched to the correct mail pieces and trays.
  • Organize trays, tubs, and palletsin accordance withUSPS preparation standards and internal procedures.
  • Prepare pallets for transport, including shrink wrapping and proper labeling to ensure visibility and verification during handling and dispatch.
  • Assemble and organize work orders for submission and processing within the USPSPostalOne! system.
  • Access the USPSPostalOne! dashboard tovalidatemailing information and printtherequired USPS confirmation documentation.
  • Secure USPS confirmation pages and related documentationin accordance withestablished company procedures and recordkeeping requirements.
  • Verify mailing status within internal systems and ensure all work orders are properly updated to reflect a status of “Mailed.”
  • Identifydiscrepancies in documentation, tray preparation, pallet labeling, or system records and escalate issues toappropriate leadershipto prevent delayed or unauthorized mail release.
  • Maintain compliance with USPS regulations, internal quality standards, and documentation control procedures.
  • Communicate with production, presort, andlogisticspersonnel to ensure mail is properly prepared and dispatched according to schedule.

Minimum Qualifications

  • High school diploma or GEDrequired,associate degree in logistics, operations, or a related field preferred.
  • 1–3 years of experience working in a production, mailing, warehouse,logistics, or fulfillment environment.
  • Familiarity with USPS mailing processes, presort operations, tray and pallet preparation, or mail verification procedures preferred.
  • Ability to follow detailed written procedures andmaintainstrong attention to detail when verifying documentation and preparing mailings.
  • Basic computer skills with the ability to learn internal production systems and USPSPostalOne! software.
  • Strong organizational and communication skills with the ability to coordinate with production andlogisticsteams.
  • Ability to work in a fast-paced production environment whilemaintainingaccuracy and compliance with established procedures.
  • Familiarity with barcode scanners, RF devices, and inventory systems.
  • Strong troubleshooting and communication skills.

Additional Responsibilities

Employees may be required to perform duties outside their primary responsibilities or assigned department, as reasonably requested by management. These duties may occasionally occur outside regular working hours, provided they align with applicable labor laws.

On-Call Requirements

If you are called in to work outside your regular schedule, you are expected to work at least four hours unless otherwise directed by management.

Physical Demands

The physical demands described here are those an employee must meet to successfully perform the essential functions of this position.

  • Work is performed in a warehouse or production facility environment.
  • May be exposed to varying temperatures, noise, dust, and printing chemicals.
    Must be able to lift 50 pounds, push 800 pounds on a load-bearing cart, carry 25 pounds, and pull 200 pounds.
  • Must be able to use hand tools, pallet jacks, and forklifts.
  • Requires frequent standing, walking, crouching, bending, kneeling, lifting, and using repetitive motions of hands or wrists; finger, grasp, handle, or feel; reach with arms and hands for extended periods.
  • Fast-paced, deadline-driven setting requiring the ability to manage multiple tasks simultaneously.
