Position Overview

We are hiring three compassionate and organized Veterinary Customer Service Representatives (CSRs) to serve as the first point of contact for our community clinic and adoption center. This role combines traditional veterinary front-desk responsibilities with adoption processing and client education.

CSRs must be comfortable handling animals, restraining, getting animals safely in and out of kennels and supporting a fast-paced clinical environment.

Clinic Structure

  • Surgery in the mornings, appointments in the afternoons (M, TH, FRI)
  • Adoption Center open Friday–Sunday, 11:00 AM – 4:00 PM

Key Responsibilities

Client Services

  • Greet and check-in clients and patients.
  • Verify appointments and collect required medical history forms.
  • Provide pre-operative and post-operative instructions.
  • Check clients out, process payments, and review invoices.

Adoption Processing

  • Process adoption applications and paperwork.
  • Review medical records with adopters.
  • Coordinate with veterinary staff regarding medical disclosures.

Communication & Scheduling

  • Answer phones, schedule appointments, and manage the appointment calendar.
  • Communicate schedule changes to medical staff.
  • Provide information regarding clinic services and pricing.

Administrative Support

  • Maintain accurate client and patient records in EMR system.
  • Process payments and maintain confidentiality.
  • Support the medical team with documentation coordination.
  • Ordering/ Inventory experience a plus
Requirements:

Qualifications

  • High school diploma required.
  • Experience in veterinary clinics, medical office, or animal shelter preferred.
  • Comfortable handling animals when necessary.
  • Strong customer service and de-escalation skills.
  • Ability to multitask in a high-volume setting.
  • Weekend availability required for adoption hours.
