Job Title: Patient Care Coordinator
Location: In Person - Washington, DC
Employment Type: Full-Time, W-2 Employee, Non-Exempt
Schedule/Hours: Monday through Thursday 11:30am-8 pm, Saturday 8:30am- 5pm

Hourly Rate: $22-25/hour
Reports To: Director of Operations

The Ross Center is a patient-centered mental health practice dedicated to providing compassionate, evidence-based care in a supportive and professional environment. We are currently seeking a Patient Care Coordinator to serve as a key point of contact for patients, responsible for answering inbound calls, managing messages, scheduling appointments, checking patients in and out, collecting and applying payments, and supporting program coordination. This role is ideal for an organized, service-oriented professional who enjoys creating a positive patient experience while supporting the day-to-day operations of a growing mental health practice.

Patient Care Coordinator Duties:

  • Answer telephones and emails promptly and in a polite and professional manner
  • Document concise, thorough, and accurate information in the EMR
  • Schedules appointments for existing and new patients, utilizes Zoom for telehealth links
  • Secure medication prior authorizations from insurance companies
  • Assist patients in completing all necessary forms
  • Understand when to escalate calls to clinicians/Office Manager/Director
  • Match new patients with appropriate clinician and initiate the new consultation process
  • Create and transmit letters and other correspondence on behalf of the clinicians
  • Collect patient fees/process credit card transactions
  • Assist with accounts receivable follow up and patient outreach for updated credit cards
  • Assist with other office duties as needed

Requirements:

Patient Care Coordinator Requirements:

  • Associate or bachelor's Degree preferred
  • Minimum of 2 years of healthcare or hospitality experience preferred
  • Proficiency with and EMR, Microsoft Outlook, Excel and other web-based platforms

Physical Requirements:

  • Manual dexterity to operate office equipment.
  • May require long periods of sitting and standing.
  • Must have normal or corrected vision and be able to clearly communicate verbally by phone or in person.
  • Work is performed in an open office environment and involves frequent contact with staff, patients, and the public.
