About This Position
Loch Harbour Group, Inc. is seeking a Portfolio Council Coordinator to provide administrative and operational support to the Portfolio Board (PB), Portfolio Council (PC), and associated working groups. The Coordinator will support meeting execution, industry engagements, briefing preparation, event coordination, and budget tracking activities while maintaining collaboration platforms and repositories that support council operations. This role requires strong organizational skills, attention to detail, and the ability to coordinate across multiple stakeholders in a fast-paced environment.
Functions:
- Support PB/PC/Space Working Group Meeting
- Coordinate/Facilitate Industry Engagements
- Maintain PC SharePoint Site and related resources (e.g. calendar, brief repository)
- Support budget tracking and reporting
- Coordinate/prepare presentations and data calls
- Facilitate PMW reviews and bi-annual reviews
- Support event planning and participation (e.g. conferences, tech tours)
- Manage conference room and supplies
- Provide ad hoc support for brief building and other tasks
Duties:
- Coordinate with briefers, schedule conference room, and manage calendar invites for PB/PC/Space Working Group Meetings
- Maintain Company Tracking Information and Repository of briefs for Industry Engagements
- Update and maintain Teams PC Events Calendar and PC SharePoint Site
- Monitor and assist with PC budget tracking, including generating reports and coordinating with BFM
- Coordinate scheduling, conf room/teams/vtc, and performer coordination for PMW bi-annual reviews
- Register BPMs for SD conferences and coordinate logistics
- Print out PC/Small Business Handouts, update BPM posters, and set up booths for large events
- Maintain lists for technology and people, coordinate production and installation of vision posters with PAO
- Order supplies, manage conference room calendar, and serve as main POC for conference room usage
- Participate in planning meetings, prepare materials, organize events, and coordinate logistics for Center-wide Tech Tours
- Perform tasks such as managing Hub pages, facilitating meetings, and maintaining repositories as needed.
Knowledge, Skills & Abilities
- Experience with knowledge management tools (SharePoint, Atlassian Wiki, Interlinks/docs)
- Strong MS Office and Teams skills (Word, PowerPoint, Outlook, Excel, Teams, Forms, Planner, etc.)
- Ability to learn new skills quickly
- Professional communication skills to engage with executive level personnel and industry partners
- Experience with calendar management and event planning
- General administrative experience with conference room management, supplies, printing, and meeting logistics
Clearance Requirement:
- SECRET cleared, TS/SCI eligible
