Employment Type: Permanent Full-time (37.5 hours per week)/Temporary 6-term

About the Role-month

We are seeking a reliable and detail‑oriented Accounts Payable & Administrative Assistant to support our finance and administrative functions. This role supports day‑to‑day accounts payable processing and provides general administrative assistance to ensure smooth office operations. The position is based onsite and requires in‑office attendance five days per week.

As an Inuit-owned organization, preference will be given to Inuit beneficiaries of the Nunavut, Nunatsiavut or Inuvialuit land claim groups. If the successful candidate is not an Inuit beneficiary, the position will be offered on a term basis.

Key Responsibilities

Accounts Payable

Open all Accounts Payable mail and print all invoices sent via emailAssist with the processing of vendor invoices in a timely and accurate mannerAssist with the matching of invoices to purchase orders and supporting documentationEnsure invoices are properly coded and approved in accordance with company policiesAssist with the preparation of payment runs (cheques, EFTs, wires) under direction of the Senior AP/AR ClerkAssist with vendor statement reconciliations and resolution of discrepanciesRespond to vendor inquires in a timely mannerMaintain organized and up‑to‑date accounts payable records, including electronic and paper filingSupport month‑end close activities and audit requests as requiredAdministrative Support

Open and close the secure reception area in a timely manner, ensuring compliance with security protocols, including visitor sign‑in, escorting procedures, and issuing temporary access cards as requiredReceive, sort, and distribute incoming mail; coordinate outgoing mail, courier shipments, and package deliveriesManage main telephone line operations and politely direct incoming calls to the appropriate departments or individualsGreet visitors in a professional manner and maintain the visitor logMonitor and maintain office supply inventory and place orders as required to ensure adequate stock levelsQualifications & Experience

Diploma or certificate in Accounting, Business Administration, or a related field1–3 years of experience in accounts payable and an administrative roleBasic understanding of AP processesStrong attention to detail and accuracyReliable and well‑organized with the ability to manage multiple tasks and deadlinesComfortable working in a structured, in‑office environmentTechnical Skills

Working knowledge of Microsoft Excel, Word, Teams, and OutlookExperience with Oracle or other ERP systems (e.g., Sage, QuickBooks, NetSuite, or similar) is an assetAbility to learn new systems and follow established proceduresAssets

Experience in a multi‑vendor or fast‑paced environmentExposure to month‑end accounting activitiesBasic knowledge of GST/HSTKnowledge of Inuktitut is desiredWhat We Offer
