Position Overview:
The Outpatient Operations Manager, Specialty Clinics, oversees the day-to-day operations, workflow optimization, and staff management across multiple specialty clinics. This role supports efficient patient care delivery and alignment with clinical and operational goals, while driving improvements in processes such as patient access, surgery coordination, referral management, and care team collaboration. The Operations Manager serves as a key liaison between providers, staff, and leadership to promote high quality care and a positive patient experience.
Working in close partnership with the Director, Specialty Clinics, the Operations Manager also supports personnel management within the department. Responsibilities include staff scheduling, performance evaluations, and addressing routine employee concerns. The Manager may initiate and document corrective or disciplinary actions, when necessary, in coordination with and with the support of the Director. The Director provides leadership oversight for complex personnel matters to ensure alignment with organizational policies and leadership expectations.

Key Responsibilities:
Alongside the Director, Specialty Clinics:
Operational Leadership:
- Oversee the daily operations of specialty clinics, ensuring adherence to organizational standards and regulatory requirements.
- Implement operational policies, procedures, and best practices.
- Monitor clinic performance metrics, including patient flow, staffing efficiency, and patient satisfaction.
Staff Management & Development:
- With the support of the Director, supervise and mentor staff.
- Conduct staff scheduling, rounding, and workload balancing to optimize team performance.
- Lead training initiatives, onboarding, and professional development programs.
Workflow & Process Optimization:
- Design clinic workflows to maximize efficiency and support future growth.
- Oversee workflows and processes for clerical and clinical support roles.
- Implement systems for effective communication across care teams and clinic sites.
Clinical Support & Coordination:
- Support providers with operational needs to ensure high-quality patient care.
- Collaborate with care teams to resolve operational or clinical issues promptly.
Financial & Resource Management:
- Monitor resource allocation, staffing, and clinic budgets.
- Recommend improvements to optimize operational costs without compromising patient care.
Qualifications
High school diploma or GED. Minimum of 3 years of experience in ambulatory operations or healthcare management.
Strong understanding of outpatient clinic operations, care team roles, and scheduling workflows.
Proven leadership, team-building, and conflict-resolution skills.
Excellent organizational, analytical, and communication abilities.
Experience with electronic health record (EHR) systems and scheduling software.
Associate’s or Bachelor’s degree in Healthcare Administration or a related field preferred. Working knowledge of regulatory requirements related to outpatient physician practices. Experience in project management, including clinic redesign and workflow improvement.
