GENERAL SUMMARY:

This is an hourly position in Manteno, Illinois reports to the Warehouse Manager. This is a vital role within the receiving and inbound logistics function, overseeing the accurate, efficient, and compliant intake of raw materials, components, supplies, and other goods critical to production processes. This position acts as a key coordinator between suppliers, carriers, warehouse/operations teams, and quality control, ensuring materials are received on time, inspected properly, documented accurately, and made available to support uninterrupted manufacturing schedules while maintaining inventory integrity and minimizing discrepancies or disruptions.

SCOPE OF JOB FUNCTION:

  • Overseeing Receiving Operations - Coordinating the unloading and processing of incoming shipments from trucks, carriers, or suppliers; directing receiving clerks and material handlers in daily tasks; scheduling dock appointments and prioritizing urgent or high-value deliveries to align with production needs.
  • Inspection and Verification — Leading or performing detailed inspections of incoming materials for quantity, quality, condition, specifications, and compliance with purchase orders, packing lists, advanced shipping notices (ASNs), and quality standards; identifying, documenting, and escalating discrepancies, damages, shortages, or non-conformances to supervisors, purchasing, quality assurance, and vendors promptly.
  • Documentation and System Management —Ensuring accurate data entry and transactions in ERP/inventory management systems (e.g., receipts, put-away, lot/serial tracking, returns); maintaining detailed receiving records, logs, and reports; generating necessary documentation for audits, traceability, or regulatory compliance.
  • Inventory Coordination — Directing the labeling, staging, storage, and put-away of received items in designated warehouse or production areas; coordinating material distribution to production lines or storage locations to support just-in-time manufacturing; assisting with cycle counts, physical inventories, and discrepancy resolution to uphold accurate stock levels.
  • Team and Process Leadership — Training and guiding receiving team members; monitoring workflow and performance to optimize efficiency; implementing and enforcing safety protocols, quality procedures, and best practices in the receiving area; collaborating with purchasing, production planning, quality, and logistics teams to resolve issues and improve processes.
  • Vendor and Carrier Liaison — Communicating effectively with suppliers and transportation providers regarding delivery schedules, issues, or returns, managing relationships to ensure reliable inbound supply chain performance.

In a manufacturing environment, the Receiving Coordinator plays a pivotal role in preventing production delays by acting as the primary gatekeeper for material accuracy, quality assurance, and timely availability. This position requires strong organizational and leadership skills, keen attention to detail, proficiency with inventory/ERP software, experience with material handling equipment (e.g., forklifts, pallet jacks), physical capability for occasional lifting/moving items, and excellent communication with internal departments, vendors, and drivers.

This important role contributes significantly to operational efficiency, cost control, waste reduction, and overall supply chain reliability in a fast-paced manufacturing setting.

Requirements:

SKILLS/KNOWLEDGE/EXPERIENCE

REQUIRED:

  • High School Education or equivalent required.
  • 3 years’ minimum related experience in a shipping or receiving administrative environment.
  • 1 year experience operating a Forklift.
  • Ability to use a computer &/or RF scanner.
  • Excellent analytical, problem-solving, organizational, & communication skills.
