About This Position
Information Technology Strategies, Inc. is a government IT solutions provider servicing commercial and government initiative in various parts of the United States. We are currently seeking an Administrative Support and Graphics Specialist to work for our company.
Summary:
- Client Agency is Defense Logistics Agency
- Compiles, types and edits periodic reports, letters, memos, proposals, manuals and cost estimates from copy or rough draft; integrates text and graphics to format cohesive presentations; uses word processing application programs to produce reports, briefings and graphical enhancements; prepares spread sheets, PowerPoint presentations, reviews material prepared for supervisor's approval for typographical accuracy, grammar, spelling, punctuation, composition and format; prepares special reports, summaries or replies to inquiries, using relevant data from other reports, documents.
- Responsible for integrating the graphics generated with automated tools and the deliverable documents.
- Other administrative duties include events coordination for highly visible seminars, conferences, and program meetings.
- Assists in collecting and organizing information required for setting up executive meetings, preparation of executive presentations, developing agendas and assisting with the conducting of working sessions and executive meetings, tracking action items and reporting updates.
- Drafting executive communications from meeting notes to validate key discussion points, decisions made and next steps to include the who by when.
- Strong analytical, written and interpersonal skills to establish productive working relationships to enable speedy exchange of information and effective coordination for timely scheduling of meetings and follow up discussions, proposals, and reports, ensuring accuracy and completeness of data.
- Provides edits and feedback on functional descriptions, manuals, special reports, or any other customer deliverables and documents, focusing on clarity, consistency, and technical accuracy.
- Provides support in performing financial and administrative tasks related to project documentation and reporting.
- Maintains a current internal documentation library, ensuring that all documents are organized, accessible, and up-to-date.
- Under minimal supervision, supports the preparation and/or maintenance of systems, programming, and operations documentation, procedures, and methods.
- Assembles technical documents and provides detailed analysis of information, highlighting key findings and recommendations.
Requirements:
- Must possess IT-II security clearance or have a current National Agency Check with Local Agency Check and Credit Check (NACLC). (Basic Federal Clearance requirements are U.S. Citizenship, clear criminal history check, no recent or pending bankruptcies)
- Five (5) years relevant experience.
- Must have experience with the following programs: SharePoint, Microsoft Word, Excel, and Power Point.
- Expert experience in logistics and contact with the public coordinating highly visible seminars, conferences, and program meetings.
- Expert experience assisting with the creation, maintenance, and analysis of technical documentation and information, including presentations and reports, involving document assembly, editing, and related administrative and financial support.
- Proficiency in organizational change management standards.
- Proficiency in IT project management experience using various Microsoft and graphic tools.
- Ability to create, critique, and update programmatic briefings and ghost emails for consumption by senior management.
- Change agent with the ability to implement strategies to affect change and guiding teams to adapt change
- Excellent communications skill, both written and oral, with focus on strong visual communications skills to convey complex concepts via graphic designs.
- Creative, strategic thinker, and self-starter with ability to solve complex programmatic problems.
- Ability to multi-task, deconflict priorities, and accountable for all assigned projects/tasks under broad guidance.
