Position Summary

The Project Manager (PM) plays a central role in managing and coordinating all production aspects of client projects. Acting as the primary hub of workflow and communication between Account Managers, Account Executives, and internal teams—including graphic production, detailing, warehouse, and shop—the PM ensures all projects are completed efficiently, on time, and within budget, while maintaining high client satisfaction.

The ideal candidate has experience in commercial interiors or construction project management and works best where creative design meets hands-on building.

Requirements:

Project Leadership & Budgeting

  • Oversee the full lifecycle of each project from initiation through completion.
  • Meet or exceed budget goals and timeline expectations.
  • Track margins and forecasts throughout the project lifecycle.
  • Conduct quality assurance checks to ensure all deliverables align with client requirements.
  • Collaborate with internal teams (client services, shop, warehouse) and external vendors to maintain project timelines.
  • Lead and participate in CAD, quality assurance, and status meetings to ensure clear communication and collaboration.

Construction & Build Expertise

  • Provide expertise in commercial construction, interior build-outs, millwork, and fabrication.
  • Review drawings and specifications for constructability, cost efficiency, and proper sequencing.
  • Coordinate with architects, engineers, contractors, landlords, facilities teams, and vendors to ensure alignment between design intent and build feasibility.
  • Develop and manage comprehensive project schedules, including permitting, fabrication, and installation timelines.
  • Lead construction administration, including RFIs, submittals, change orders, and field coordination.
  • Support on-site supervision during key installation phases and complex build-outs.
  • Serve as the primary client contact for construction-related matters and communicate clearly regarding materials, logistics, timelines, and build approach.
  • Maintain strong relationships with consultants and trade partners, ensuring thorough project closeout documentation and reporting.

Production Oversight

  • Manage production timelines, material orders, vendor communications, and graphic approvals.
  • Oversee detailing and graphic production to ensure timely estimates, proofs, and client approvals.
  • Manage change orders and cost controls with clear client communication.
  • Support the production team with accurate procurement of materials such as flooring, carpet, and custom components.
  • Act as on on-site supervisor when needed to address production challenges or questions.
  • Identify and resolve issues to ensure client satisfaction and project success.
  • Maintain and manage client inventory.

Post-Event Reporting

  • Partner with the warehouse manager to complete inspection reports within 10 business days of event close.
  • Prepare and deliver comprehensive post-show reports to the client.

Qualifications:

  • 8–12+ years of project management experience in tradeshow exhibits, commercial construction, interior build-outs, architectural environments, or experiential installations.
  • Strong knowledge of construction methods, millwork, fabrication, and installation practices, with the ability to read and interpret architectural drawings and construction documents.
  • Proven experience managing projects through all phases, including concept, design development, documentation, permitting, construction, and closeout.
  • Demonstrated ability to manage budgets, margins, forecasting, and cost controls.
  • Experience coordinating with architects, engineers, AV consultants, contractors, and facilities teams.
  • Excellent leadership, communication, and conflict-resolution skills, with a collaborative, team-oriented approach.
  • Highly organized with exceptional attention to detail and the ability to manage multiple complex projects simultaneously.
  • Proficiency in Microsoft Excel and project management software required; experience with Revit, SketchUp, or similar tools preferred.
  • Ability to travel up to 10% as needed.
