ESSENTIAL FUNCTIONS: Reports primarily to the Range Control Section Manager but provides support in other functions for the Mission Department. Uses multiple office automation software with varied functions to produce a wide range of documents that often requires complex formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets. Provides administrative support to managers and employees within the Mission Department. The work generally involves managing task assignments, amendments, task closures, timekeeping, travel requests, training requests. Responsible for occasional coordination and preparation of key meetings that involve contract-wide employees.
GENERAL DUTIES:
- Reviews and processes incoming and outgoing correspondence and performs other administrative work.
- Prepares correspondence, reports and other documents, reviews and finalizes correspondence prepared by others in handwritten or electronic drafts.
- Maintains calendars, coordinates meeting arrangements and schedules meetings, provides information to callers, and relieves the directors of clerical work and minor administrative and business details.
- Performs varied clerical and secretarial duties.
- Works independently performing functions with minimal supervision.
- Must have extensive knowledge of general office procedures on a variety of subjects, be familiar with good office decorum, perform a wide variety of clerical duties, and assist with a variety of administrative matters.
- Must possess excellent communication skills, computer word processing skills to perform data searches, prepare complex documents and reports, as well as verifying reports for accuracy and completeness.
- Experience with PIMS and Task Management tools is desired.
- This position requires strong computer skills including MS Word, Excel and Access and the ability to multi-task; as well as knowledge of procedures, operations, functions, and commitments used to perform procedural and administrative work in an office.
- Updates and maintains office records of various types like metrics and monthly reports from other sections.
Job Requirements:
OTHER DUTIES: Other functions include housekeeping and other clerical and secretarial tasks of comparable nature and difficulty.
EDUCATION/EXPERIENCE REQUIREMENTS: Must be a high school graduate with five years’ experience in the administrative field or related area and familiarity with a variety of the field’s concepts, practices, and procedures. Certification from an accredited business or technical school is desirable.
OTHER REQUIREMENTS: Candidate must be eligible to obtain and maintain a Secret security clearance. Supports E-OMS operational objectives; observes company Quality, Safety, Environmental, Security and Administrative policies. Supports Process Improvement.
WORK ENVIRONMENT: Work activities are normally performed in an environmentally controlled office with limited fieldwork.
PHYSICAL DEMANDS: Will be subject to substantial movements (motions) of the wrists, hands, and/or fingers. Must be able to have close visual acuity to perform activities such as: reading, consolidating, interpreting, and preparing data for reports; viewing a computer terminal; and requires very little lifting or moving of heavy objects or materials.
