The team at Arvanitis & Associates located in Waterloo, Ontario are looking for a passionate, hard-working Patient Care Coordinator on a full-time basis.

The ideal Patient Care Coordinator for our team will be highly motivated to facilitate the patient’s office experience in being seamless and ensure the patient leaves well informed and prepared for their next appointment.

Key Responsibilities

  • Act as the first point of contact by greeting patients warmly in person and over the phone
  • Manage the patient flow from check-in to check-out to ensure a smooth, professional journey
  • Handle patient inquiries regarding procedures, office policies, and billing with empathy
  • Present treatment plans clearly, explaining procedures and their value to encourage patient acceptance
  • Verify dental insurance coverage and provide accurate out-of-pocket cost estimates
  • Submit insurance claims and pre-authorizations for complex dental cases.
  • Optimize the daily schedule to maximize clinic utilization and minimize gaps
  • Manage the recall system to ensure patients return for routine hygiene and follow-up care
  • Proactively manage schedule to keep the practice ongoing
  • Coordinate with dentists and hygienists to align patient needs with available treatment times.
  • Maintain accurate, confidential electronic patient records using Dentrix
  • Process referral letters and manage professional correspondence with other providers

Qualifications

  • Experience: Typically 2+ years in a dental or medical front-office setting
  • Knowledge: Strong understanding of dental terminology and procedure coding
  • Technical: Proficiency in dental practice management software, Dentrix Software experience is an asset
  • Soft Skills: Excellent communication, problem-solving, and an empathetic approach to treatment presentation
