You will play a critical role in supporting senior leadership by managing complex calendars, coordinating high-priority activities, and ensuring seamless day-to-day operations. You will act as a trusted partner to executives, helping streamline communication, manage competing priorities, and support strategic initiatives. - Manage and maintain executive calendars, ensuring effective scheduling, prioritization, and coordination across multiple stakeholders.
- Anticipate executive needs and proactively prepare relevant materials, context, and briefings in advance of meetings and commitments.
- Coordinate complex domestic and international travel arrangements, including itineraries, bookings, and logistics.
- Serve as a key point of contact between executives and internal/external stakeholders, ensuring clear and timely communication.
- Manage time-sensitive and high-priority requests with strong judgment, discretion, and professionalism.
- Coordinate across global time zones and manage scheduling complexities involving senior leadership and external partners.
- Plan and support team meetings, offsites, events, and executive engagements.
- Assist in special projects and cross-functional initiatives as required by leadership.
- Maintain and update organizational documentation such as org charts, contact lists, and distribution lists.
- Ensure confidentiality, accuracy, and operational efficiency in all executive support activities.
- 8+ years of experience in an Executive Assistant or similar senior administrative support role.
- Proven experience supporting executives in fast-paced, high-growth, or startup environments.
- Strong organizational, multitasking, and time management skills with high attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage competing priorities and remain composed under pressure.
- Strong judgment and decision-making ability in handling sensitive or confidential information.
- Experience coordinating across global teams and multiple time zones.
- Proficiency in Microsoft Excel and PowerPoint.
- Ability to anticipate needs and work independently with minimal supervision.
