The Workforce Scheduler is responsible for building, maintaining, and adjusting employee work schedules to support operational coverage, service level objectives, and compliance requirements. This role partners closely with Workforce Management, Service Delivery, and Leadership to align staffing plans with forecasted demand while balancing employee availability, labor rules, and business needs.
What does a day in the life as a Workforce Scheduler look like?
- Develops and publishes workforce schedules based on forecasts, staffing models, and operational requirements
- Adjusts schedules in real time to address call volume fluctuations, absenteeism, and unplanned events
- Ensures schedule adherence to labor laws, company policies, and contractual obligations
- Manages schedule changes including shift bids, time-off requests, swaps, and coverage gaps
- Maintains accurate scheduling data within workforce management and timekeeping systems
- Partners with Workforce Management and Operations to support service level and productivity goals
- Monitors schedule effectiveness and identifies opportunities for optimization and efficiency
- Communicates schedule updates, changes, and impacts to stakeholders and employees
- Supports audits and reporting related to scheduling accuracy and compliance
- Assists with workforce planning initiatives including new program launches and seasonal ramp-ups
- Adhere to company policies and procedures
- Meet or exceed performance targets for related KPIs
- Continuously improve knowledge of products, services, and processes by participating in training programs and continuous learning modules
- Collaborate with other departments as needed
- Maintain a positive, empathetic, and professional attitude toward customers and colleagues at all times
- Perform other duties as assigned
What are the required qualifications for a Workforce Scheduler?
- Experience in workforce scheduling, workforce management, or operations support environments
- Working knowledge of workforce management, scheduling, or timekeeping systems
- Understanding of attendance policies, and scheduling compliance requirements
- Ability to analyze data, forecasts, and trends to inform scheduling decisions
- Strong organizational skills with the ability to manage frequent changes and competing priorities
- Clear written and verbal communication skills with diverse stakeholder groups
- High attention to detail and accuracy in schedule creation and maintenance
- Ability to work collaboratively in fast-paced, metrics-driven environments
