POSITION DESCRIPTION:
The Recruiting Administrator should be well organized, seasoned, and motivated. Our company is dedicated to building anesthesia teams at hospitals and outpatient positions that consistently deliver optimized clinical, operational, and fiscal performance that can improve outcomes.
The Recruitment Administrator provides comprehensive support to the recruitment team, ensuring smooth, efficient, and well-organized daily operations. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment. The coordinator will assist recruiters, maintain reporting and scheduling processes, support candidate communication, and ensure operational excellence across all recruitment functions.
Responsibilities
RESPONSIBILITIES:
- Manage recruitment team calendars, schedules, and appointment coordination.
- Provide administrative support to recruiters, including candidate communication and followup, and recruitment marketing team.
- Prepare, maintain, and format reports, documents, and recruitment-related records.
- Prepare and maintain reports, including ATS data management and reporting templates, and documentation for recruitment leadership and other stakeholders.
- Provide support with ATS platforms (e.g., iCIMS).
- Coordinate recruitment meetings and inoffice events, including room reservations, tech setup, meal ordering and support remotely, or in-person if applicable
- Responsible for tracking recruiter and sourcer productivity and processing incentive payouts.
- Assist department leaders in managing payroll and requests in payroll system.
- Assist with maintaining and updating budget spreadsheets.
- Arrange travel, process expense reports, and invoices.
- Assist in event venue research, selection and event coordination.
- Support events on site as needed.
- Maintain org chart and department metrics.
- Conduct research and assist with meeting preparation, including accurate recording of meeting minutes.
Qualifications
SKILLS/QUALIFICATIONS:
- Must be confident, trustworthy, and uphold a strict level of confidentiality.
- Outstanding organizational/administrative skills.
- Excellent communication skills, both verbal and written, including proofreading.
- Excellent interpersonal skills.
- Excellent secretarial skills.
- Excellent computer skills. Proficient with Microsoft’s Office Suite including Excel, PowerPoint, Word, Outlook etc.
- Develop and sustain a level of professionalism.
- Must be flexible, able to multi-task and adjust work schedule as may be required.
- Must be detail oriented.
EDUCATION/EXPERIENCE:
- High school diploma required. An Associate’s Degree or Bachelor's Degree in Business Administration or related field is a plus. Secretarial Certification is a plus.
- A minimum of 4-5 years of work experience, preferably providing the same or similar administrative support to a corporate officer.
