This role is centered on leading strategic sourcing efforts for complex client programs, ensuring seamless coordination between clients, suppliers, and internal teams. You will act as a key liaison responsible for negotiating critical program components, securing optimal pricing, and building financially sound budgets that align with client expectations.
You will manage sourcing activities across events and programs, from initial request through contract execution and final turnover.
The position requires a strong balance of negotiation expertise, operational rigor, and client-facing communication in a fast-paced, service-driven environment.
You will collaborate closely with suppliers and partners to identify the best destinations, hotel options, and logistical solutions.
This role also plays a critical part in ensuring compliance, financial accuracy, and delivery excellence across multiple concurrent programs.

- Lead sourcing strategy and supplier negotiations to secure optimal pricing, contractual terms, and program enhancements aligned with client goals.
- Manage end-to-end RFP processes, including gathering requirements, securing room blocks, and coordinating event logistics.
- Review, negotiate, and finalize supplier contracts while ensuring accuracy, compliance, and legal safeguards.
- Develop preliminary budgets, track financial performance, and maintain accurate forecasting throughout program lifecycles.
- Maintain consistent communication with clients, suppliers, and internal teams to ensure smooth execution and timely updates.
- Monitor supplier deadlines, document program status, and ensure proper tracking of all tentative, sold, or canceled programs.
- Support complex or VIP client requests and provide leadership across project teams when required.
- Continuously identify opportunities to improve costs, efficiency, and profitability through additional negotiations and benchmarking.
- Bachelor’s degree in business, hospitality, event management, or a related field.
- Minimum 5 years of experience in project, event, or meeting management, including at least 2 years focused on supplier contract negotiation.
- Strong experience in hotel sourcing, destination management, and budget development for large-scale programs or events.
- Proven negotiation skills with the ability to build and maintain strong client and supplier relationships.
- Strong analytical mindset with the ability to manage budgets, forecasts, and performance metrics effectively.
- Excellent organizational skills with the ability to manage multiple projects simultaneously under tight deadlines.
- Familiarity with sourcing platforms, program management tools, or event logistics systems is a plus.
- Strong communication skills and the ability to operate effectively in a remote, client-facing environment.
