Responsible for assisting the Property Team in the day-to-day operations of a portfolio of multi-family properties in NYC.

Primary Focus is tenant management, maintenance coordination and ensuring compliance with local regulations, while maximizing the property's value and resident satisfaction; essentially acting as a point of contact, outside of the building staff, between property management and residents.

Requirements:

Key responsibilities

  • Manage and track all communication (calls & emails) with current residents and ensure responses are handled in a timely manner.
  • Assist and direct team and onsite staff, providing emergency support as needed.
  • Review monthly arrears report and assist in collection efforts while flagging any discrepancies and potential problems.
  • Coordinate maintenance work orders, arranging access for supers and vendors within occupied units.
  • Assist tenants with requests and issues such as pest control, window issues, lead & mold issues, etc.
  • Examine submitted invoices to ensure accuracy and completion. Send to Accounts Payable.
  • Create door postings, monthly late notices, informational emails, apartment inspection notices and other correspondence for circulation.
  • Assist with L&T attorneys preparing required documentation as needed as well as maintaining internal tracker on case status.
  • Escalate any problems or issues, as needed.
  • Represent and communicate clearly and accurately, in person, over the phone and in email/writing.

Assist Portfolio Management:

  • Help ensure standardization of portfolio wide processes.
  • Help improve processes and create or update SOP’s.
  • Assist property team with organization and scheduling.
  • Assist construction team as needed.
  • Participate and contribute in all training and development.

Qualifications, Characteristics & Other:

  • Minimum 3+ years of property management experience
  • Experience with Yardi or similar management software
  • Excellent organizational and time management skills
  • Ability to build rapport with tenants.
  • Ability to multitask and prioritize.
  • Excellent written and verbal communication skills
  • Punctual/Reliable/Professional
