About the role

The Event Operations Manager oversees the execution and operational excellence of all thēstudio North America programs, including events, transportation, activities, team building, venue management, food and beverage, entertainment, show tickets, and VIP services. This role ensures that every aspect of program delivery meets thēstudio North America’s high standards while fostering team growth and operational efficiency.

What you'll do

  • Operate Mid-Range to Larger Scale events and/or DMC programs and special events. 
  • Supervise and oversee Operations Coordinators.
  • Prepare and review manifests, and staff, and book transportation for arrivals and departures, group activities, dine-around, or show tickets. 
  • Create and review event orders and schedule of events and confirm that all services and necessary preparations are in order. 
  • Direct, supervise, and coordinate the activities of field staff, subcontractors, and vendors as required to successfully execute the assigned events during the planning stage and onsite. 
  • Work closely with hotel catering and convention service managers, venue & restaurant contacts to ensure a successful program. 
  • Effectively communicate information through written correspondence and oral communication with the client, hotel/venue contacts, and internally. 
  • Attending pre-convention meetings with the salesperson. 
  • Accountable for all other aspects of programs and events set forth by the company’s operations service standards. 
  • In charge of approving and finalizing invoices, timesheets, and all credit card back-up for charges relating to the operation of a program. 
  • Have a comprehensive knowledge of the industry and internal Departments.
  • Primary contact and principal liaison during an event. 
  • Determines needs and resolves problems by making strategic, business-oriented, and client-serving decisions required to ensure a successful event. 
  • Develops and manages successful business relationships with clients and vendors in an effort to provide exceptional customer service and increase the probability of future bookings/ returns. 
  • Develops paperwork for the planning of a successful event (work orders, floorplans, event reports and final invoicing). 
  • Supervise and train staff, support team growth, and own day-to-day management responsibilities. 
  • Research and approve all event expenses (gifts, décor, entertainment, emcees, collateral, F&B) while staying on budget. 
  • Stay informed on trends and technologies in the event and related industries. 
  • Maintain meticulous client program files and initiate internal workflows.
  • Other duties as assigned.

Qualifications

  • Must have a high school diploma or equivalent.
  • Two (2) years’ experience in the hospitality industry.
  • Must have a valid Nevada Driver’s license.
  • Excellent verbal and written communication skills. 
  • Excellent interpersonal, negotiation, and conflict-resolution skills. 
  • Excellent organizational skills and attention to detail. 
  • Excellent time management skills with a proven ability to meet deadlines. 
  • Strong analytical and problem-solving skills. 
  • Ability to prioritize tasks and to delegate them when appropriate. 
  • Proficient with Microsoft Office Suite or related software. 
  • Excellent interpersonal skills, being able to work effectively with all levels of personnel. 
  • Flexible Work Schedule - ability to work nights, weekends, and holidays as necessary. 
  • Ability to work successfully and solve problems in a deadline-driven environment where multitasking is commonplace. 
  • Excellent interpreting skills on a variety of instructions furnished in written, oral, diagram, and schedule form.   
  • Ability to work in a fast-paced environment. 
  • Working knowledge of accounting practices. 
  • College degree preferred or equivalent.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift a minimum,15 pounds at times.
  • Must be able to access and navigate each department at the organization's facilities.
