Job Description:
This position performs a variety of responsible administrative and clerical duties in support of departmental operations. The role requires strong organizational skills, attention to detail, and the ability to interact effectively with the public, internal staff, and external agencies. Work involves supporting programs, maintaining records, and assisting in the coordination of daily office functions.

In this role, you’ll be at the center of daily operations, helping keep our office running smoothly while supporting both staff and the public. Your work will be varied, fast-paced, and essential to the team’s success.
- Perform a variety of specialized administrative tasks, including preparing documents, reports, and publications, as well as transcribing meeting minutes or dictation.
- Serve as a key point of contact for departments, clients, and the public—providing information, directing inquiries, and resolving or routing concerns via phone, radio, or in person.
- Act as a lead team member for clerical staff by assigning work, providing guidance, and supporting onboarding and training efforts.
- Compile and organize data for recurring and special reports, and assist in presenting findings in a clear, professional format.
- Support financial operations through routine accounting tasks such as processing payments, invoices, payroll, and maintaining personnel records.
- Coordinate meetings, appointments, and special events—handling logistics such as scheduling, agendas, and catering arrangements.
- Manage client interactions from start to finish, including processing payments, maintaining accurate records, and assisting with forms and requests.
- Oversee incoming and outgoing mail operations, ensuring timely distribution and supporting large or specialized mailings.
- Maintain organized filing systems, records, and inventory to ensure easy access and operational efficiency.
- Handle general administrative duties such as correspondence, data entry, filing, and document processing, including permits and official paperwork.
- Assist with specialized processes such as vehicle-related documentation, summons, or warrants as required.
- Create and maintain databases, and provide basic technical support to team members using office software tools.
- Additional duties may be assigned to support departmental needs.

Required Qualifications:
VOCATIONAL/EDUCATIONAL REQUIREMENT: Requires a high school diploma or GED and any combination of education and experience equivalent to satisfactory completion of one year of college education in word processing, secretarial skills, or a closely related field.
EXPERIENCE REQUIREMENT: In addition to satisfying the vocational/education standards, this class requires a minimum of three years of full-time equivalent experience in administrative support.
SPECIAL CERTIFICATIONS AND LICENSES: Depending on departmental operational requirements, may require valid driver’s license and driving record in compliance with City Driving Standards.
EXPERIENCE REQUIREMENT: In addition to satisfying the vocational/education standards, this class requires a minimum of three years of full-time equivalent experience in administrative support.
