This role is a key administrative support function within a large-scale federal infrastructure program, operating in a fully remote environment aligned with the Pacific time zone. You will serve as the central coordination point for office operations, supporting senior managers and cross-functional teams in ensuring smooth execution of program activities. The position combines administrative precision with strong organizational coordination, helping maintain compliance, documentation flow, and operational efficiency. You will interact with internal teams, external stakeholders, and vendors while supporting project reporting, scheduling, and financial tracking. The environment is fast-paced, structured, and mission-driven, contributing directly to national infrastructure and aviation safety initiatives. - Act as the primary administrative focal point for office operations, ensuring efficient coordination of documentation, communication, and reporting activities across teams.
- Support senior management by tracking schedules, tasks, and project deliverables while preparing regular reports and updates.
- Process vendor invoices, reconcile purchase card transactions, and assist with basic financial and procurement tracking in line with project requirements.
- Manage office supplies, inventory, and ordering processes while ensuring continuity of office resources and materials.
- Coordinate meetings, conferences, and travel logistics, including accommodations and visitor arrangements.
- Maintain filing systems, contact directories, and compliance-related documentation, ensuring accuracy and accessibility.
- Support facility-related coordination, administrative compliance, and additional operational duties as assigned.
Requirements:
- Minimum of 5 years of administrative or office support experience, including exposure to senior-level management environments.
- High school diploma or equivalent required; additional college education or administrative certification preferred.
- Strong organizational and multitasking abilities in a structured, project-driven environment.
- Proficiency in Microsoft Office applications (Word, Excel, databases, and related tools).
- Excellent written and verbal communication skills, with strong interpersonal and coordination abilities.
- Ability to work independently with minimal supervision while maintaining accuracy and attention to detail.
- Experience handling confidential or compliance-related administrative tasks is an advantage.
