You will play a key part in ensuring operational accuracy, consistency, and high-quality program materials for participants and group leaders. The position involves managing administrative workflows, tracking participant data, and supporting the delivery of complex, multi-format travel programs. Working in a fast-paced and collaborative environment, you will interact with multiple stakeholders across operations, customer service, and program teams. - Support daily operations of program administration activities across multiple travel and learning programs.
- Create, update, and maintain program departure reports ensuring accuracy and timely delivery.
- Prepare and distribute program materials and documents for participants and group leaders.
- Track participant information, preferences, and special requests, ensuring timely follow-up and escalation when needed.
- Communicate with participants to collect missing or incomplete program information.
- Assist with operational tasks such as updating program data, responding to service requests, and coordinating with external vendors.
- Support cross-functional initiatives and additional projects assigned by program administration leadership.
- Ensure data integrity and consistency across internal systems and program databases.
Requirements:
- 1+ year of administrative support experience in an office or operational environment.
- Bachelor’s degree preferred, or equivalent combination of education and experience.
- Experience in fast-paced, multi-tasking environments with strong organizational demands.
- High attention to detail with strong accuracy in data handling and documentation.
- Strong written, verbal, and email communication skills with a professional, service-oriented approach.
- Comfortable working with databases, numbers, and structured operational systems.
- Ability to manage multiple priorities simultaneously while meeting tight deadlines.
- Strong interpersonal skills with the ability to collaborate across teams and functions.
- Problem-solving mindset with a proactive and adaptable approach to work.
- Interest in travel, education, or mission-driven organizations is a plus.
