Position Overview:
The Surgical Scheduling Medical Assistant supports efficient patient care by coordinating surgical scheduling while providing clinical support in the practice. This role ensures surgical orders, documentation, authorizations, and medical clearances are accurate and completed in a timely manner. In addition to scheduling responsibilities, the position functions as a Medical Assistant, supporting patient flow, clinical preparation, documentation, and day-to-day clinic operations.

Key Responsibilities:
Surgery Scheduling:
The Surgery Scheduler is responsible for coordinating all aspects of surgical scheduling to ensure efficient patient care and provider workflow. This role serves as the liaison between patients, providers, hospitals, and other medical offices, ensuring that all surgical documentation is accurate, complete, and processed in a timely manner. The surgery scheduler will receive surgery orders and other pertinent documentation from the health system surgical practices. Enters all pertinent data into electronic system. Obtains insurance authorizations from insurance companies and obtains all medical clearances.
Medical Assistant:
• Adhere to standard work processes and protocols to ensure consistency and quality in patient care delivery.
• Ensure all relevant reports, laboratory results, and information are accessible in patients’ electronic medical records prior to their appointments.
• Ensure accurate and proficient medical documentation in patients' medical records.
• Measure vital signs including blood pressure, weight, and temperature; summarize patient history.
• Maintain consistent, clear communication with healthcare providers, patients, and colleagues to ensure effective coordination of care and facilitate positive patient outcomes.
• Ensure strict adherence to HIPAA regulations and patient confidentiality protocols to safeguard sensitive medical information at all times.
• Provide discharge and follow-up guidance to patients as directed by physicians or advanced practice providers.
• Handle telephone messages and provide appropriate feedback and responses to patient, physician, and pharmacy inquiries.
• Keep medical supplies readily available by monitoring inventory levels, placing orders when necessary, and verifying receipt of orders.
• Stock exam rooms with an adequate supply of medical essentials, maintain instruments, and prepare sterilization materials as required.
• Monitor and maintain logs for various checks, including refrigerator temperatures, emergency medications, and expired medications.
• Enhance the reputation of the practice by taking ownership of assigned tasks, actively seeking opportunities to add value, and accommodating new and diverse requests.
• Maintains professionalism when interacting with the public and fosters positive relationships with center personnel and staff physicians.
• Perform any other duties as assigned by the practice manager or department director.
Qualifications
• High School Diploma or GED required; must be a graduate from an accredited Medical Assistant program.
• Proficient in typing and computer skills; adept at operating office equipment.
• Possesses excellent communication, written, and organizational skills.
• Capable of multitasking efficiently and prioritizing tasks effectively.
• Adaptable to new tasks and environments; quick to incorporate new information.
• Exhibits sound judgment and problem-solving abilities.
• Demonstrates composure and maintains a calm demeanor, especially in emergency situations.
• Medical Assistant Certification is preferred.
