About This Position
Position Description: JOB SUMMARY
The primary role of the HR and Safety Coordinator is to perform administrative tasks and services to support effective and efficient operations of the organizations human resources and safety departments, encompassing all stages of an employees work experience.
HR COORDINATOR RESPONSIBILITIES AND DUTIES
- Engages with job candidates, new hires, and existing employees related to onboarding, promotional opportunities, offboarding, and routine HR transactional activities.
- Coordinates onboarding and offboarding activities for all Anvil direct hires and contract workers.
- Coordinates new hire paperwork including offer letters, communications related to first day instructions, and orientation scheduling.
- Coordinates all necessary paperwork related to new hire TN Visas as well as renewal for current staff.
- Facilitates new hire orientation as needed, contributing to their quality onboarding experience.
- Works with HR team to coordinate monthly new hire meet n greet lunches with leadership and new hires.
- Prepares internal relocation agreements.
- Coordinates employee separations with managers to ensure a smooth departure including completed notices of separation and exit checklists.
- Ensures the integrity and confidentiality of human resource files and records.
- Completes form I-9s and verifies I-9 documentation for new hires, including entry in to E-Verify.
- Manages new hire paperwork (i.e., I-9s, policy acknowledgements and agreements) and monitors accuracy and completion.
- Owns data integrity for employee personnel files including creation of new electronic files and ensuring record retention requirements are met for former employees with electronic and hardcopy files.
- Assists with recruitment and interview process. Schedules interviews as requested, tracks status of candidates in SharePoint lists, and uploads candidate resumes.
- Administrative owner and primary point of contact for Anvil platforms used for transactional personnel management.
- Ensures Anvils master job description library is accurate at all times, in sync with recruiting posts, and feeding HR automated forms.
- Ensures data accuracy and ensures all forms and data generated from routine HR transactional activities are stored in appropriate employee personnel files.
- Supports the companys training efforts with program coordination, including state regulatory training for new hires and current employees and soft skill management training.
- Supports the HR Manager and managers with performance management systems and process. Oversees performance review finalization.
- Assists with company engagement and retention efforts of employees which may include survey distribution and collection, reporting, and process improvement suggestions.
- Manages company recognition events such as milestone service awards.
- Informs Payroll department of any changes to employee status and monitors accuracy of payroll data input.
- Maintains compliance with state employment laws by ordering and distributing employment law posters to each branch office annually. Posts electronic versions on company SharePoint.
- Conducts audits of payroll or other HR programs and recommends corrective action.
- Handles confidential information.
- Occasionally supports executives with administrative tasks, which may include scheduling meetings, organization of venue, catering, lodging, and other associated reservations.
- Provides backup support to HR Manager and HR Business Partner, as needed.
- Performs other administrative duties, as assigned.
SAFETY COORDINATOR RESPONSIBILITIES AND DUTIES
- Coordinates alcohol and drug screening for new hires and random screening for current employees.
- Responds to requests for training enrollment and background check initiation prior to employee access to onsite facilities.
- Communicates with clients to re-activate badges for employee access to onsite facilities.
- Provides backup support to Safety Manager, as needed.
REQUIRED SKILLS AND ABILITIES
- Excellent verbal and written communication skills.

- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines. Demonstrates responsiveness to requests.
- Ability to function well in a high-paced and at times stressful environment.
- Proficient with Microsoft Office Suite or related software.
- Strong understanding of data management.
- Extensive knowledge of office management systems and procedures.
- Ability to maintain confidential information.
EDUCATION AND EXPERIENCE
- Associates degree: equivalent related experience accepted.
- Two plus years of experience working in an administrative or HR role, required.
PHYSICAL REQUIREMENTS
- Able to sit/stand, type, and perform computer work, and answer incoming calls for long periods of time.
- Prolonged periods sitting at a desk and working on a computer.
- Frequent use of hands/fingers for data entry.
- Able to perform occasional bending, lifting, and reaching.
