About This Position
Position Purpose:
The Admin/Receptionist will be responsible for supporting the daily administrative duties.
General Duties and Responsibilities:
- Operate telephone to answer, screen, or forward calls, provide information, take messages, assist customers, or schedule appointments
- Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations
- Transmit information or documents to vendors, using computer, mail
- Assist HR in onboarding and offboarding of employees
- Open new files; organize invoices and mailing of checks
- Prepare physical file folder
- Scan and transfer documents into folders as instructed
- Prepare and send recordable documents each day
- File and maintain records
- Monitor office supplies and prepare an office supply list
- Maintain an organized and clean reception area including fluffing pillows, straightening magazines, utilizing air freshener, and maintaining the coffee machine
- Maintain kitchen including preparation of kitchen supply list Maintain supply closet include supply list
- Collect, sort, distribute, or prepare mail, messages, or courier deliveries; monitor postage available in postage machine
- Input data
- Assist with archiving of files
Qualifications:
- Experience providing quality customer service
- Prior experience answering and using a multi-line phone system
- Intermediate to advanced functionality in Microsoft Office products
- Strong time management and organizational skills; capable of multi-tasking
- Knowledge of use of advance functionality of office machinery and basic upkeep
- Able to maintain professionalism, integrity, and polite demeanor in all work related activities; polished and tactful
- Must maintain an exemplary record of attendance and punctuality
- Access to reliable transportation
Requirements:
- Associates Degree
- 3-5 Years of Administrative Experience
- Proficient in Microsoft Office - Word, Excel, Outlook
- Proven ability to work under pressure, prioritize work and meet multiple deadlines
