CALIBRE Systems, Inc., an employee-owned management consulting and digital transformation company, is looking for a highly motivated Program Operations Task Lead to join our dynamic team supporting a federal client. This position directs specific Program Operations functional areas, leading subtask teams and ensuring successful execution, delivery, and quality of assigned operational components.
Responsibilities include, but are not limited to:
· Manage Program Operations subtasks, including scope, schedule, staffing, and risk.
· Assemble and manage teams responsible for:
o DUA tracking and review workflows
o Training, webinars, and conferences
o Website and repository updates
o Stakeholder engagement and retention
o Technical assistance delivery
· Oversee production of Program Operations deliverables, including:
o Stakeholder Engagement and Retention Plans
o Marketing and Dissemination Plans
o Technical Assistance Reports
o User Satisfaction Reports
· Manage production of communications, reports, and technical assistance materials.
· Own and lead functional areas such as stakeholder engagement, training, or technical assistance.
· Maintain clear coordination with the Program Manager.
· Ensure timely preparation, review, and clearance of federal deliverables, including PRA packages when required.
· Coordinate development and maintenance of:
o Public-facing program website content
o Dashboards tracking program participation, usage, and trends
o Self-service technical assistance tools and knowledge resources
· Maintain consistent, professional communication with NIH staff, COR, and external partners.
- Ability to lead and manage program operations subtasks and teams
- Strong organizational and communication skills
- Ability to oversee stakeholder engagement, data governance, and program dissemination activities
- Ability to coordinate technical assistance and program support functions
- Strong written and verbal communication skills
- Familiarity with SaaS workflow tools
- Experience coordinating training sessions, webinars, or outreach events
- Background in technical writing or quality assurance (QA)
- Bachelor’s degree in Public Health, Sociology, Business, or related field
- 5+ years of technical experience supporting program operations or related activities
- 2+ years of experience serving as a Task Lead on efforts of comparable size and complexity
- Experience leading federal program support teams
- Relevant professional certifications commensurate with program operations duties (e.g., PMI, PMP, CMMI)
- Experience supporting training programs, stakeholder engagement, or outreach initiatives
- Experience working in structured program environments supporting federal clients
- Experience supporting technical assistance delivery or program communications
