As the Executive Administrative Assistant, you will play a key role in supporting this work by ensuring executive operations run efficiently, leadership is well-prepared, and communication across stakeholders is clear and effective.
The OpportunityThe Executive Administrative Assistant provides high-level administrative, operational, and communications support to the President & CEO and Executive Leadership Team. This role serves as the primary liaison to the Board of Directors, manages sensitive and confidential information, and ensures smooth coordination of executive priorities and agency-wide activities. This position requires exceptional judgment, professionalism, and the ability to manage complex responsibilities with discretion.
Requirements: Team Structure & Direct ReportsIn this role, you will work closely with the President & CEO, Executive Leadership Team, Board of Directors, and cross-functional staff. You will serve as a central point of coordination for leadership activities and governance processes, helping ensure alignment and efficiency across the organization.
Key Responsibilities:
- Manage the President & CEO’s calendar, appointments, and daily administrative operations
- Prepare and coordinate reports, presentations, meeting materials, and executive briefings
- Serve as the primary liaison between the President & CEO and the Board of Directors
- Coordinate Board and committee meetings, including agendas, materials, and official records
- Support fundraising operations, including donation tracking, acknowledgments, and reporting
- Generate Salesforce reports and assist with financial and administrative processes
- Coordinate logistics for agency meetings, events, and accreditation activities (COA)
- Maintain professional communication and relationships with staff, Board members, and external partners
- Utilize organizational technology systems (Google Workspace, Salesforce, Microsoft Office, Zoom, AI tools) to support operations
- Handle sensitive information with a high level of confidentiality, discretion, and professionalism
- High school diploma or equivalent required, AA preferred
- Minimum of five (5) years of progressively responsible administrative or office experience
- Experience supporting senior leadership or Boards preferred
- Equivalent combinations of education and experience will be considered
- Strong relationship-building skills with diverse stakeholders
- Exceptional organizational skills, initiative, and ability to manage multiple priorities.
- Ability to manage multiple priorities in a fast-paced environment
- High level of discretion, judgment, and professionalism
- Proficiency in technology platforms and systems
- Ability to attend early morning or evening meetings as needed
- Ability to travel locally for meetings and events
- Successful completion of required background screenings
Compensation: The role described offers a base salary of $55,000-$65,000. Your offer will be determined based on how your qualifications align with the requirements of the position and internal equity. In addition to the stated salary, Future First's Total Rewards package includes a comprehensive benefits plan.
