Job Description

The Event and Outreach Coordinator is responsible for the development of events from conception to implementation and serves as the primary contact for event and student programming. This position provides logistical support for Program on Negotiation (PON) events, including, but not limited to, formal dinners, faculty seminars, webinars, and collaborations across Harvard. This role assists in planning and implementing strategies to develop and improve processes for both virtual and on campus programming. The Event and Outreach Coordinator is responsible for student outreach and communication of grant and fellowship opportunities and funding available from PON.

As an Event and Outreach Coordinator you will:

  • Serve as point person in organizing and executing virtual and in-person events and meetings (e.g. PON Live, Kelman Seminar series, PON Research Lab).

  • Be responsible for event promotion and outreach (writing blog postings, emails, website announcements).

  • Be responsible for student outreach and materials (e.g. produce Student Interest Group newsletter, liaise with Fellows, prepare and send announcements of funding opportunities and grant awards).

  • Participate in strategy and planning discussions for upcoming events.

  • Be responsible for uploading event recordings to PON website.

  • Maintain the internal calendar of events.

  • Be responsible for the management and oversight of the PON Research Lab.

  • Assist the Managing Director with presentations & assembly of materials for Executive Committee.

  • Assist the Marketing Director with marketing initiatives as needed.

  • Other duties as assigned.


Qualifications

Basic Qualifications

Five or more years of experience in office administration or related field, including organization and execution of events. Education beyond high school may count toward experience.

Additional Qualifications and Skills

We are looking for people who have:

  • Event planning and project management skills.

  • Strong interpersonal and communication skills (written and verbal).

  • Ability to work collaboratively with staff, faculty and students.

  • Experience with MS-Office and familiarity with social media platforms.

  • Experience writing and designing publicity materials both in print and online.

  • Ability to work independently.

  • Discretion, good judgment and resourcefulness.

  • Knowledge and interest in the field of negotiation.


Additional Information

Appointment End Date: This position is a term appointment currently expected to extend through June 30, 2027 with potential for renewal, subject to departmental need and funding.

Standard Hours/Schedule: 35 hours per week, Full-time, M-F.

While the position is based on site in Cambridge, MA, this role has the opportunity for a hybrid work arrangement (some combination of on-site and remote), subject to business need and manager review/approval. The position has a required minimum of 3 days in the office on-site, as well as occasional evening and weekend work to support specific events. All remote work must be performed within a state in which Harvard is registered to do business (CA*, CT, GA, IL, MA, MD, ME, NH, NJ, NY, RI, VA, VT and WA). *exempt positions only.

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the Universitys Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.

Salary Grade and Ranges
