Lending Administration Manager at Lake Ridge Bank – Madison, Wisconsin
About This Position
Lake Ridge Bank is seeking a dynamic leader to join our team as a Lending Administration Manager! The Lending Administration Manager is responsible for the management and supervision of the Loan Assistants and their functions as they support the commercial and ag lenders. You will be responsible for ensuring loan assistants are managing loan portfolios for respective lenders according to procedures and in a timely manner. You will also be providing their assigned lenders with the support needed that will contribute to client retention and business development efforts.
Essential Responsibilities
Supervision & Leadership
- Set clear expectations and review performance with staff regularly through one-on-ones and quarterly conversations. Keep accurate personnel files.
- Mentor, coach and support staff. Guide and develop associates to strengthen their knowledge, job responsibilities, and engagement. Promote job satisfaction.
- Ensure department’s processes support the bank strategies and goals.
- Conduct department meetings. Keep staff informed and engaged.
- Identify educational opportunities for staff related to their personal goals.
- Act as a role model to staff through appropriate behaviors and professional demeanor. Ensure alignment with Lake Ridge Bank’s Mission, Vision and Values.
Department Management
- Utilizing regular monitoring and validation reports, analyze the completion of loan assistant tasks to ensure data integrity, compliance, procedure, policy and timeliness.
- Establish and keep up to date all department operating procedures & policies ensuring they align with the bank’s Loan Policy and all lending regulations.
- Collaborate regularly within the department and with related departments to ensure processes follow loan policy & regulations, are being completed consistently and are efficient.
- Monitor various reports to analyze employees’ workloads, volumes and timelines that work is being completed to ensure efficiency.
- Stay informed of all regulations and compliance related rules that affect commercial and ag loans.
- Provide support to your team by answering questions and collaborating on best practices for how to manage support of assigned lenders.
- Provide support to other bank business units and clients in answering questions, researching and problem solving.
- Provide support and backup to staff as needed on daily tasks and other regular responsibilities.
Lender Support/ Retention and Development of Commercial & Ag Client Relationships
- Assist clients with various requests including but not limited to line of credit draws, overdraft information, and other duties that do not require the attention of the Lenders.
- Build trust and rapport with clients by being a confidential/direct contact for them.
- Facilitate and keep lines of communication open by acting as a liaison between clients, Lenders, loan operations, underwriters, and other bank personnel.
- Promote and refer other bank products and services to solidify banking relationships with clients.
- Assist with Lenders appointment and meeting calendars as appropriate.
- Attend outside client meetings as needed.
- Work with/assist Lenders and Loan Operations with past due reports, collection calls, collecting of financial statements, etc. as appropriate.
- Assist with data entry into the loan and/or banking systems as needed or requested including but not limited to logging activities and opportunities for lenders in Sageworks.
Perform functions associated with Commercial and Agriculture Loans
- Actively assist in the loan origination process for new and renewal loan requests by assisting Lenders, loan production, underwriting and/or others including but not limited to starting online loan applications and running pricing models in Sageworks, producing Client Relationship Summery sheets, managing lender’s renewal pipeline proactively, communicating with lenders and clients on information needed and completing workflow tasks in Sageworks.
- Assist loan production and underwriting with information requests needed to complete a loan package including but not limited to required financial documents, specific loan related project or purchase documents, client entity documents, personal identification verification documents and evidence of insurance for collateral securing loans.
- Communicate professionally with clients in order to collect all documentation necessary or as requested. Actively monitor collection for expediency and follow up with clients or internal associates as necessary on progress.
- Perform clerical duties including copying of client documentation as appropriate, assisting in loan closings, mailing out renewal paperwork, following up on pending items, etc.
- Assist in coordinating closings with lenders, clients or other associates
- Actively communicate with lenders and other loan staff on the status of loans being worked on for progress, timing, etc.
- Assist with Pipeline Reporting and be an active participant to collaborate on calls and in meetings.
Adhere to all Bank Security/Compliance Regulations
- Complete all annual bank security and compliance training
- Adhere to Bank Security/compliance and policy guidelines for commercial loan area.
- Maintain confidentiality of customer information at all times.
- Stay current on all compliance regulations required through training and education.
Other Responsibilities
- Remain knowledgeable with related department’s general processes and procedures including but not limited to Underwriting, Loan Production Loan Servicing and Quality Control.
- Identify and/or create reports to assist with required monitoring responsibilities and management of workloads.
- Implement and lead adoption of new processes and improvements
- Perform other duties and projects as assigned or requested.
- Associate degree in Administrative Professional, Business Management, Finance, Accounting or similar program and/or three years previous work experience in administrative/client support/lending operations or similar work experience.
- Previous management/supervisory experience with demonstrated ability to lead others effectively
- Exceptional interpersonal and communication skills to be able to interact and communicate with a diverse group of clients.
- Good accounting/math skills with the ability to work precisely with numbers and financial calculations.
- Strong attention to detail with the ability to work on multiple priorities efficiently & accurately.
- Demonstrated ability to represent the organization in a professional, positive manner
- Demonstrated problem solving skills with the ability to make independent decisions
- Strong organizational skills with the ability to prioritize multiple competing tasks and work in a fast-paced environment.
- Flexibility in scheduling is essential for periods of high volume.
- Good working knowledge of Microsoft Office Suite, proficient typing/keyboarding skills and the ability and willingness to learn new programs and software.
- Ability to maintain confidential customer information.
- Ability to read, write, understand and speak English clearly.
- Ability to represent the organization in a professional, positive manner.

Preferred Qualifications
- Bachelor’s degree in finance, Accounting, Business and/or similar field of education.
- 5-7 years previous experience in a similar position
- Knowledge of Commercial and Agricultural loan documentation.
