POSITION OVERVIEW: The Coordinator of Adult Services is responsible for supervising, teaching and monitoring case management and peer support specialist service delivery that is guided by the philosophy and practices of the Strengths Model of Case Management. The Coordinator will coordinate & complete program intakes/admissions and discharges, treatment planning, MCO related issues including OTRs, Batch errors (both internal & COMCARE), utilization review procedures, ensure quality provision of case management services, and supervise members of the case management staff. The Coordinator is responsible for ensuring fidelity to the Strengths Based evidence-based practice.
ESSENTIAL POSITION RESPONSIBILITIES:
- Leads a team of case managers and peer support specialist. Motivates, coaches, and supports employees toward maximizing their performance and productivity.
- Plans and implements the orientation and training of employees per program guidelines. Ensures employees meet initial and ongoing training requirements for respective positions.
- Handles personnel matters effectively and consistently with existing policies, including interviewing, hiring, counseling, terminating, and completing annual evaluations for team members. Provides appropriate documentation.
- Acts as back-up point of contact with COMCARE regarding intakes & authorizations of new cases. Ensures access to service standards are met. Assigns consumers to appropriate case managers and peer support specialists. Ensures processing of discharges. Assists Director with oversight of waiting list and discharge process.
- Ensures timely and appropriate documentation and billing of services in the manner required by MHA, COMCARE, and Medicaid. Attends to billing deficiencies which include but are not limited to over-utilization, batch errors, inadequate documentation, etc.
- Tracks and ensures service authorizations are completed in a timely manner. Monitors hours authorized and updates EMR as needed. Advocates with contractors as needed regarding consumer care & case coordination.
- Provides oversight and ensures fidelity to each model to Strengths Based model of case management.
- Works in collaboration with other mental health providers throughout the community. Maintains effective working relationships with other providers to ensure highest quality of care.
- Ensures MHA is represented in statewide Evidence Based Practices forums.
- Collaborates with community agencies to increase the visibility of rehabilitation services and attends community meetings as directed.
- Prepares and submits reports in accordance with contract and Evidence Based Practices guidelines.
- Problem solves with case managers ensuring recovery and strengths-based approach.
- Facilitates interdisciplinary team meetings with client present.
- Ensures all critical incident reports are appropriately completed and submitted within allowed timeframe.
- Monitors compliance with Case Management standards as outlined by policy and Medicaid guidelines.
- Evaluates consumer satisfaction and quality of case management service.
- Provides ongoing assessment of case management program to ensure growth and direction consistent with community needs.
- Assist with program revisions consistent with CARF accreditation guidelines.
- Monitors and provided feedback to staff regarding productivity requirements.
- Is expected to collaborate and foster a positive, cohesive team environment. Ensures coordination of services across departments.
POSITION REQUIREMENTS:
The Coordinator of Adult Services is expected to have completed a Bachelor’s degree in social work or related field. Requires previous Case Manager experience. Preferred areas include knowledge of community resources, housing alternatives and vocational services; experience working in the community with individuals who have serious and persistent mental illness; knowledge of adult learning systems, ability to write and communicate verbally in a clear and concise fashion; and the ability to develop and maintain rapport with consumers, constituents, and staff. Supervisory experience preferred. Must maintain current licensure as required for position. A valid Kansas driver’s license and access to personal vehicle required.
OTHER POSITION REQUIREMENTS:
- Maintains acceptable overall attendance record, to include department staff meetings, agency meetings, and trainings as required. Ensures appropriate notification to supervisor for absences and ensures that work is covered. Flexible in work schedule when needed.
