About This Position

JOB PURPOSE: Provides administrative support for law enforcement services by transferring all data from reports, to the Spillman and or other data base computer systems. Assigns deputies for service for protection from harassment/abuse orders. Provides oversight for day to day scheduling of deputies. This position is 40 hours per week, with a full benefits package. Pay is commensurate with experience, with a starting wage of $23.35 per hour. QUALIFICATIONS:

  • High School Diploma required.
  • Minimum of two years’ experience in an administrative support role in a highly confidential environment.
  • Proficiency with Microsoft Office Suite, specifically Word and Excel.
  • Working knowledge of collective bargaining agreements.
  • Equivalent combination of education, training and experience will be considered.

MAJOR RESPONSIBILITIES:

  1. Receives requests for time off and training slips from deputies makes associated schedule change(s), contacts other deputies to find a replacement deputy, post information to intranet in order to ensure law enforcement coverage.
  2. Assists Lieutenant(s) with request(s) for time off and overtime slips by compiling weekly patrol work schedule and request for time off forms onto the payroll time sheet for submission to the finance office.
  3. Ensures accurate records by checking data from patrol division reports in the name data base making sure all data is correct and up to date.
  4. Responsible for ordering uniforms, equipment, supplies for Patrol, CID, Honor Guard and ESU. Maintains equipment issue spreadsheet and purchase order spreadsheet.
  5. Receives, processes (enters into CAD system) and dispatches all court services, to include protections from abuse, protection from harassment, subpoenas, etc. assigning them to deputies for service.
  6. Assists the Sheriff’s executive assistant and investigative clerk with general request for information, press releases and general public questions, complaints.
  7. Maintains files on the county intranet to ensure approved form revisions and removing outdated forms.
  8. Ensures the Marine Patrol schedule is posted.
  9. Assists the management negotiations team by preparing & compiling information to be used to formulate management’s collective bargaining proposals.
  10. Provides information by answering questions and requests regarding summons, subpoenas, protective orders as well as any other inquiries related to patrol.
  11. Verifies documents by proofreading and comparing information entered into computer system by deputies and editing data as needed.
  12. Assists deputies by transcribing audio recording(s), if needed.
  13. Ensures all patrol original documents are place in Spillman incident files and provided to the receptionist/clerk, who is responsible for records and safekeeping.
  14. Provides coverage for LEC Lobby/Receptionist coverage, when needed.
  15. Assists Patrol Captain and Human Resources with coordination of hiring of Patrol Deputy Applicants with scheduling of PAT’s, Oral Boards and Psychological Evaluations.
  16. Maintains professional and technical knowledge by attending educational workshops, establishing personal networks, and participating in professional societies.
  17. Contributes to team effort by accomplishing related results as needed.
  18. Supports the county’s safety and health policies by attending required safety training programs and reporting all accidents and suspected safety hazards to supervisor.
  19. Fulfills job function by participating as an active member in training, participating on county task forces and performing other responsibilities as assigned.
  20. Performs similar or related work as required, directed or as situation dictates.
