Job Description

  • Position Summary
    • Procedure Coordinator will receive orders for surgical procedures, and in turn coordinate and schedule cases with surgical/hospital services using established protocols and comprehensive knowledge of case types and resource availability. Collects and validates high quality patient demographics, guarantor insurance info, authorizations, resource availability, CPT, HCPCS and ICD10 codes. Practices phone etiquette and develops a relationship with various resources ensuring patient needs are met, including accommodating and facilitating special request for surgical resources. Resolves all scheduling/resource utilization conflicts. Validates surgical schedules with physicians ensuring optimal operating schedule to support efficient use of staff and resources. Monitors and manages block time including procedures, releases and protocols.

  • Education
    • Associate's degree in healthcare - Preferred
  • Experience
    • 3 -5 Years Healthcare and EMR experience (clinical, medical office, or OR/lab case posting) - Required
    • Excellent analytical and problem-solving skills, human anatomy/physiology and medical terminology, effective written and verbal communication skills - Required

  • Core Job Functions
    • Schedules patients for various procedures across multiple hospital departments (which include but are not limited to Specials, ORs, Cath lab, EP lab, surgery center, etc). Ensures patient OR/Procedural cases are scheduled timely, accurately, with proper urgency, and obtain missing information needed from ordering provider/team. Assures proper equipment, resources, and all parties are aligned and are aware of case in advance.
    • Corresponds with surgery patients, managing incoming patient communications, reschedules/cancellations, and verifications related to procedure. Clarifies areas of confusion for families. Readily educates and clarifies next steps to patients and caretakers so they are knowledgable on the upcoming procedure/process and actions warranted. Escalates in-depth clinical questions that arise to the medical professional as warranted. Manages telephone/portal messages and face to face patients using exceptional customer service skills and screen and prioritize patient needs. Coordinates interpreters for patients, as needed.
    • Plays active role in revenue cycle process, executing timely prior authorization/ precertifications with third party payors, per protocol. Accesses and extracts confidential patient information required for obtaining payor approvals. Accurately and timely performs charge entry based on physician documentation, when applicable and as assigned by management. Documents auth numbers, assure accurate registration, verify coverage, and calculate patient out of pocket estimates per protocol for professional services. Assists in denial avoidance efforts.
    • Maintains professional and productive relationships with other health system departments and stakeholders, representing physician practice and serving as a prime coordination contact. When required, updates practice call/procedure schedule used within the department.
    • Error prevention. To prevent errors, repeat back appointment date, time and location prior to ending call with hospital and patients. Partners with interdisciplinary teams to prevent posting errors and case delays.
    • Readily cross-cover other duties as assigned, especially pertaining to patient scheduling, registration, training, referral and order coordination and fulfillment, incoming HIM/faxes, and direct physician support.
