Job Overview:
The ED Program Support role provides comprehensive administrative and operational assistance to the Chair of the Emergency Department (ED) and the broader ED leadership team. This position ensures the smooth coordination of departmental activities, facilitates communication across internal and external stakeholders, and supports the efficient functioning of site-level programs and initiatives.
Qualifications:
Required:
- High School Diploma or Equivalent
- Able to work relatively independently with limited direct supervision
- Detail oriented with proven ability to work effectively under conditions requiring accuracy
- Courteous and professional demeanor with strong interpersonal and verbal and written communication skills
- Excellent grammar, editing and proofreading skills
- Internet and Computer proficiency with Microsoft Office products email, Microsoft Calendar, Word, Excel, and PowerPoint
- Appointment setting initial phone call and Calendar invite with copy to medical director and director of hospitalist programs
Preferred:
- College Degree
Essential Functions:
Administrative Support for Chair & Leadership
- Schedule and coordinate appointments, meetings, and events for the Chair.
- Manage the Chair’s daily calendar to maximize time utilization.
- Handle incoming and outgoing communication, including drafting and proofreading emails, memos, and correspondence.
- Maintain effective communication within the department and with external stakeholders.
Departmental & Meeting Coordination
- Arrange departmental meetings, prepare agendas, and distribute relevant materials.
- Record and distribute meeting minutes and summaries.
- Maintain provider certifications and assist in coordinating departmental events and projects.
- Provide day-to-day assistance with IT needs, CAM requests, and act as a proxy for ED leadership when needed.
Onboarding & Program Support
- Assist with onboarding new providers, including scrub ordering, ID badges, parking access, and Epic system setup.
- Act as a liaison between ED staff, faculty, site administration, and ancillary departments.
- Provide administrative support for departmental projects, initiatives, and reporting needs.
Operational & Clinical Support
- Assist with administrative reporting for the ED and site program support.
- Conduct patient call-backs to support continuity of care.
- Participate in ED rounding to support patient and provider experience.
