Job Summary

The Production Coordinator is a vital operational role dedicated to ensuring the seamless day-to-day execution of plant activities across scheduling, production, and materials management. Reporting directly to the Plant / Production Manager. This position acts as the central liaison bridging multiple departments on the plant floor, including Engineering, Quality, and Logistics. The primary goal of this role is to drive plant performance by maintaining high operational visibility, supporting standard work adherence, and proactively resolving issues without direct disciplinary authority.

Key Responsibilities

• Facilitate meetings and maintain accurate production board updates.

• Maintain short-interval control rhythm (hour-by-hour / shift-by-shift) and escalate issues promptly.

• Identify and contain issues impacting safety, quality, delivery, or productivity; coordinate root-cause follow-up.

• Support supervisors with visibility and standard work adherence without disciplinary authority.

• Act as liaison between Scheduling, Production, and Materials to ensure smooth daily execution.

• Follow up with Engineering, Quality, and Logistics to secure prints, kits, materials, and approvals.

• Generate daily and weekly KPI reports highlighting areas needing attention.

• Track and close action items from meetings with clear ownership and due dates.

• Support 5S, CAPA, and continuous improvement initiatives.

• Coordinate preventive maintenance and urgent work orders to minimize downtime.

• Assist in improving production inventory processes on the plant floor.

• Communicate clearly and escalate risks early with supporting facts and options.

Alignment with Plant Vision

• Accurate, timely data capture for labor, reason codes, and inventory movements.

• Daily 6-S compliance checks and reporting.

• Efficiency improvements using data and observations.

• Proactive planning and readiness checks for upcoming jobs.

• Clear shift-to-shift handoff communication.

• Inventory protection through disciplined staging and returns.

• Cross-functional collaboration for rapid containment and problem-solving.

Core Functions

Scheduling and Reporting

• Translate Epicor schedules into Excel templates for clear and practical tracking.

• Maintain updated schedules and ensure accessibility for supervisors and team leaders.

Inventory Oversight

• Consolidate and analyze inventory data in collaboration with supervisors.

• Ensure accuracy of records and provide visibility of material flow.

• Identify discrepancies and escalate systemic issues for resolution.

• Coordinate material orders based on inventory levels, ensuring timely replenishment and alignment with production needs.

Fidelity Routing Dashboard Management

• Maintain and continuously improve the Fidelity Routing Dashboard.

• Monitor data accuracy and provide supervisors with actionable insights.

• Apply RCA, CAPA, 5 Whys, and Lean Manufacturing tools to identify root causes of performance issues.

• Track corrective actions and validate effectiveness.

Continuous Improvement

• Promote Lean Manufacturing principles, including elimination of the 8 wastes.

• Support supervisors and team leaders in implementing improvement initiatives.

• Document improvement cycles and ensure sustainability of changes.

Shift Handoffs

• Ensure quality and consistency of handoff meetings between shifts.

• Document action items and follow up on execution.

• Provide structured feedback to Plant Manager on handoff effectiveness.

Cross-Functional Coordination

• Coordinate with Scheduling on long-lead materials and customer-supplied items.

• Submit and track Purchase Requests, ensuring timely follow-up.

Backup Support

• Act as backup for the Production Manager during absences.

• Provide continuity in reporting, scheduling, and coordination functions.

Onboarding and Training

• Two weeks with Plant Managers (one week at each plant).

• Rotational shadowing across departments: Steel/Aluminum Processing, Welding, Housing, Paint, Packaging.

• Two days with Scheduling, two days with Engineering, one day with Shipping.

• Specific training in Epicor, purchasing processes, and reporting tools.

Key Competencies

• Advanced proficiency in Excel and Office Suite.

• Strong analytical and data visualization skills.

• Knowledge of Lean Manufacturing, RCA, CAPA, 5 Whys, and waste elimination.

• Experience with ERP systems (Epicor preferred).

• Effective communication and organizational skills.

• Ability to collaborate across departments and influence through data-driven insights.

Working Condition

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Work environment is an office atmosphere. Work could also involve some outside exposure. May be exposed to noise, dust, fumes, airborne particles, smoke (Not over OSHA Permissible Exposure Levels). Safety training is provided in accordance with applicable law, industry standards and company policy. Prolonged periods of sitting at a desk and working on a computer. Must be able to lift 15 pounds at times.

Education and Experience

Completion of a formal program or one-two years related experience and/or equivalent combination of education and experience.

• 3 years experience within related roles

• Degree in related experience a plus
