About This Position

Assistant Portfolio LCAM (ACAM)
Location: Florida
Reports To: Portfolio / Onsite Community Association Manager (CAM)
Position Summary
The Assistant Portfolio LCAM (ACAM) supports the Community Association Manager (CAM) in the daily administration, operations, and field management of assigned community associations. This role assists with vendor coordination, contract administration, budgeting support, violation tracking, resident and board communications, and regulatory compliance. The ACAM utilizes CINC Association Management software to document, track, and support operational workflows and may assume CAM responsibilities as needed.
Key Responsibilities
Operations & Management Support
  • Understands and operates in accordance with each association’s Management Agreement and governing documents.
  • Assists the CAM with daily operations of portfolio-managed communities.
  • Acts in the role of CAM when required, including vendor and limited personnel management, within approved authority.
  • Maintains regular, professional communication with the CAM regarding priorities, deadlines, and community issues.
  • Makes operational improvement recommendations based on experience and observed community needs.
Vendor, Contract & Work Order Management
  • Prepares, drafts, issues, and tracks routine RFPs under CAM direction using CAM-approved scopes of work.
  • Coordinates vendor walkthroughs, site access, and meetings for current or pending projects.
  • Monitors vendor performance and reports findings, concerns, and recommendations for remediation to the CAM.
  • Issues, follows up on, and closes work orders with vendors and homeowners in CINC.
  • Assists with obtaining and reviewing vendor bids for accuracy, consistency, and board presentation.
Violation Tracking & Compliance
  • Tracks covenant violations in CINC in accordance with association policies and Florida statutes.
  • Assists with violation notices, follow-up timelines, re-inspections, and documentation.
  • Coordinates violation compliance with owners, vendors, and onsite staff under CAM direction.
  • Maintains accurate violation records and supports hearing and enforcement processes as required.
Administrative, Communication & Meetings
  • Drafts owner correspondence, memos, letters, surveys, and notices for CAM review and approval.
  • Provides customer service support to residents, boards, and vendors.
  • Prepares and assists with agendas, board packets, and meeting materials.
  • Attends board and committee meetings and assists with accurate meeting minutes.
  • Tracks and follow up on board action items to completion.
Budgeting, Financial & Field Support
  • Assists with draft operating and capital budget preparation, including research of contract renewals, utility costs, and historical data.
  • Supports monitoring of contract-related and maintenance expenses.
  • Assists with field inspections, vendor coordination, and project oversight.
  • Supports the direction of onsite staff workflow and performance.
  • Coordinates insurance documentation and assists with claims support as directed.
Compliance & Professional Standards
  • Maintains working knowledge of Florida Statutes (Chapters 718 & 720) and applicable rules.
  • Follows association policies, safety procedures, and company standards.
  • Performs additional duties as assigned by the Community Association Manager.
Qualifications
  • Florida LCAM license required.
  • Experience with HOA/COA operations and CINC Association Management software preferred.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to exercise sound professional judgment and maintain confidentiality.
  • Effective written and verbal communication skills, including board-level correspondence.
  • Ability to interpret governing documents, contracts, and policies.
  • Demonstrated ability to exercise sound judgment, maintain professionalism, and handle confidential information.
  • Proficiency with Microsoft Office.
  • Ability to attend evening meetings and perform limited field work as required.
  • Valid driver’s license and reliable transportation preferred.
