About This Position
Position Summary
The Receptionist serves as the first point of contact for individuals visiting or calling the center, ensuring a professional, welcoming, and efficient front desk environment. This role supports the administrative needs of the organization through reception services, clerical assistance, and coordination of front office operations. The Receptionist provides customer service, supports communication flow, manages office supplies, and contributes to the overall success of day-to-day operations.
Essential Duties and Responsibilities
Reception and Customer Service
· Greet all visitors, clients, and partners with professionalism and courtesy.
· Respond to in-person and phone inquiries, transfer calls, take messages, and provide general information.
· Ensure guests sign in and guide them according to their needs.
· Maintain a clean and organized reception area.
· General familiarity with the trades offered at the Center and the services provided by Esperanza.
Administrative and Clerical Support
· Assist with scheduling appointments with staff and updating calendars.
· Maintain and update contact lists and visitor records.
· Perform clerical duties including date entry, filing, copying, and document preparation.
· Provide support for program outreach such as preparing flyers, managing mailing lists, or assisting with job fair promotion.
Office Coordination and Logistics
· Monitor and manage inventory of office supplies, submitting purchase requests when needed.
· Track usage of office and classroom supplies to anticipate restocking needs.
· Maintain an organized supply storage area and ensure items are properly labeled and accessible.
· Operate standard office equipment (copiers, phones, fax machines).
· Assist in event or classroom setup and cleanup as needed.
· Manage all message boards throughout the Center.
Other Duties

Requirements:Qualifications
Required:
• High School Diploma or GED
• Minimum of two years of experience in office administration or customer service
• Proficient in Microsoft Office Suite (Outlook, Word, Excel)
• Strong communication and interpersonal skills.
• Organizational and time-management skills.
• Bilingual in English and Spanish is a must.
• Ability to manage confidential information with discretion
• Flexible schedule, including evening availability when required.
Working Conditions
• You must be able to stand, walk, use hands, reach communication effectively, and occasionally lift to twenty-five pounds.
• Primarily office-based with moderate noise typical of a busy learning environment.
• Use of standard office equipment and technology.
