About This Position

Description:

This position reports to the Manager of Design & Permitting (Rob Sills) and supports the execution of permitting and administrative functions for the Permits Team and Project Managers.

The role is responsible for coordinating permit applications, agency communication, documentation, and project tracking to support ongoing construction and maintenance work. This position plays a key role in maintaining project flow, ensuring compliance with regulatory requirements, and providing clear visibility of permit status across active projects.

This role requires strong organizational and analytical skills, attention to detail, and the ability to manage multiple projects across various agencies and jurisdictions.

This position is based in Rancho Cucamonga, CA and requires working in-office five (5) days per week. A valid driver’s license is required.

Responsibilities:

Permitting & Coordination

  • Prepare permit applications for construction and repair work, including required forms and supporting documentation.
  • Coordinate with agencies (UST Regulator, Building, Fire, Air Quality, etc.) regarding requirements, application status, plan check comments, and inspections.
  • Track plan check comments and coordinate resubmissions.
  • Confirm permit scope and agency-specific requirements.
  • Schedule inspections and communicate with inspectors and agency contacts.

Documentation & Submittals

  • Prepare complete permit packages, including drawings, cutsheets, and supporting documentation.
  • Develop basic repair drawings using Bluebeam for submittals.
  • Maintain organized project files and ensure documentation is complete and accessible.

Tracking & Project Support

  • Maintain permit tracking systems (Excel/Smartsheet) with accurate, up-to-date status.
  • Coordinate with Project Managers on permit status, timelines, and next steps.
  • Identify missing information or potential permitting issues and escalate as needed
  • Track project start dates and ensure permit applications are submitted in a timely manner.
  • Provide regular status updates to management outlining active projects, current status, next steps, and any questions or blockers requiring direction.

Administrative Support

  • Process permit fees and submit internal check requests.
  • Submit permit applications via email, online portals, or hard copy.
  • Upon approval, compile and distribute permit packages to PMs, Admins, and field teams, including relevant agency information
Requirements:
  • Minimum High School diploma/GED, required.
  • Strong written and verbal communication skills; clear, concise, and professional.
  • Ability to manage multiple active tasks and priorities across different projects and agencies.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to work both independently and collaboratively in a team environment.
  • Problem-solving mindset with the ability to identify and address issues proactively.
  • Comfortable working with numbers, tracking systems, and project data.
  • Professional and courteous communication with internal teams and external agencies.
  • Flexibility to adjust priorities based on project needs and deadlines.
  • Familiarity with construction workflows, permitting processes, and inspections.
  • Working knowledge of UST systems, fueling infrastructure, and applicable regulatory standards is preferred.
  • Experience with multi-agency permitting (UST Regulator, Fire, Building, Air Quality, etc.), preferred
  • Experience with Bluebeam or similar PDF/drawing software, preferred.
  • Experience with Excel and/or Smartsheet for project tracking, preferred.
  • Background in construction administration, permitting, or project coordination, preferred.
  • Exposure to drafting or preparation of simple plan sets, preferred.
  • Must be able to meet company’s employment requirements, which includes passing a drug screen, background check, and MVR, if driving for the company.
  • Physical Requirements: include occasional lifting/carrying of 10 pounds; visual acuity, speech and hearing; hand and eye coordination and manual dexterity necessary to operate a computer keyboard and basic office equipment. Subject to sitting, standing, reaching, walking, twisting, and kneeling to perform the essential functions. Working conditions are primarily inside an office environment. Prolonged periods sitting at a desk and working on a computer.
